Responsibilities

The Engagement Coordinator is responsible for managing the planning, organization, and implementation of the Provost’s daily and long-range calendar. This includes scheduling and coordinating all meetings, organizing and tracking all requests for the Provost’s time, and ensuring the Provost has all relevant information at-hand for engagements and commitments. The Engagement Coordinator will conduct research in preparation for meetings and events, including sourcing and summarizing purpose of meeting, participant biographies, correspondence, and relevant social media activity, as well as identifying what supports are needed for the Provost’s participation (e.g. speeches, formal responses, etc.) and engaging the appropriate party to coordinate those supports.

Qualifications
  • Education: Undergraduate Degree in a related discipline (Social Sciences, Business, Communications)
  • Experience: 5 years’ experience supporting the schedule of a senior leader or equivalent professional in a complex environment
  • Knowledge, Skills & Abilities:
    Organizational skills to manage multiple assignments that are accurate and thorough, sometimes of a complex nature or involving competing priorities
    Familiarity with event management techniques and tools and with project management methodologies
    Communication skills to clearly express ideas in an objective manner, write clearly, and adapt communication style to suit the situation and audience
    Client service skills with an ability to apply tact and diplomacy when dealing with sensitive issues and a range of personalities, cultures, motives and interests
    Possess a reputation for resourcefulness with a strong sense of accountability and initiative
    Detail-oriented with an ability to function and process information with high levels of accuracy
    Ability to remain highly motivated, resilient, innovative, and collaborative when faced with challenges
    Influential interpersonal skills that build positive and strong relationships at all levels of the organization and externally
    Problem solving skills with a sense of urgency in resolving issues and getting tasks completed
    Knowledge of general office procedures and with best practices for assessing, developing and implementing new business processes and procedures
    In-depth knowledge and modelling of best practices for handling sensitive and confidential information and with best practices in records maintenance
    Commitment to and curiosity for ongoing learning with a desire to take on new challenges
    Intermediate computer skills including Microsoft Office Suite
    Ability to work independently and effectively as a member of the team to achieve department goals
    Working knowledge of the Freedom of Information and Protection of Personal Privacy act is an asset
    Familiarity with University policies and procedures
