Overview
We are seeking a highly organized and customer-focused individual with excellent English skills, to be the key point of contact between our customers, vendors, and production team. This role ensures seamless communication, timely updates, and smooth processing of both regular orders and rentals.
Key Responsibilities
- Customer & Communication Support: Answer and direct incoming calls, route inquiries to the appropriate team members, and provide friendly, professional assistance.
- Customer Service: Respond to questions about order status and provide timely updates to customers.
- Order & Job Handling: Check in jobs as they arrive and ensure all related paperwork is accurately recorded.
- Retrieve completed orders when customers arrive for pickup.
- Proactively follow up with customers when orders or rentals are ready.
- Production Tracking: Monitor production progress and update internal systems to move orders from Work in Progress (WIP) to Complete once finished.
- Rental Order Processing: Process rental orders from start to finish and ensure timely follow-up once rentals are ready.
- Purchasing Support: Place purchase orders for required parts and components, and track deliveries to ensure timely availability.
- Team Communication: Collaborate with production, logistics, and vendors to confirm order readiness, resolve issues, and maintain accurate records.
Qualifications
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask in a fast-paced environment.
- Proficiency with basic office software (email, spreadsheets, order management systems).
- Previous experience in customer service, order coordination, or purchasing is an asset.
