Overview

Dentons Canada is seeking a dynamic, detail-oriented and professional Corporate Executive / Legal Assistant to join our corporate team. This role requires a confident, proactive, and business-minded individual who is highly reliable and adaptable to shifting priorities. The ideal candidate will possess strong administrative and organizational skills, along with the interest and initiative to contribute to business development efforts. A primary responsibility will be working closely with a senior partner on our Canada Regional Board, contributing to the firm’s growth strategy by helping to cultivate and maintain client relationships.

Responsibilities
  • Support the partner with business development tasks, including scheduling meetings, travel agendas, coordinating client lunches and events, and arranging gift distributions.
  • Provide client development support by managing and enhancing the partner’s LinkedIn presence, including drafting and scheduling posts, engaging with client and industry content, monitoring interactions, and identifying strategic networking opportunities to strengthen professional visibility and support business growth.
  • Manage the client intake process including arranging conflict searches, drafting and proofreading engagement letters and routine correspondence.
  • Proactively support practice management initiatives including time entry oversight, managing the monthly billing cycle in collaboration with billing coordinator and implementing firm best practices in financial and client management.
  • Coordinate and facilitate administrative tasks, such as scheduling appointments and meetings, preparing materials for client interactions, and working with internal departments to deliver client-facing documents.
  • Respond to client inquiries promptly and professionally, manage follow-up activities, and ensure lawyers are kept informed of client interactions during their absence.
  • Maintain and regularly update client / matter lists, electronic files, and client contact records in compliance with Dentons’ documentation standards.
  • Demonstrate a strong team approach, uphold strict confidentiality, and maintain accountability for both internal and external communications to support the goals of the corporate department and the firm.
  • Perform other duties as assigned with a proactive and positive attitude.
Requirements
  • Minimum of 4+ years of legal administrative work experience
  • Excellent technical proficiency in Microsoft Office applications and aptitude for learning new systems and technology
  • Excellent organizational / follow up skills; attention to detail, proofreading and accuracy is required
  • Ability to prioritize and manage multiple tasks simultaneously and meet deadlines in a fast-paced environment
  • Passion for working in a team environment, willing to help others
  • Ability to produce a high quality of work, occasionally under tight timelines
  • Strong interpersonal and communication skills (verbal and written)
  • Knowledge of accounting and data management systems (i.e. Elite and iManage) preferred but not required
  • Strong grammatical skills, including punctuation and proofreading, attention to detail and accuracy
  • Demonstrated commitment to privacy and ethical conduct
  • Legal Administration Certificate (preferred but not required)

The expected salary range for this role is $62,000 - $75,000, commensurate with experience. Dentons offers equitable and competitive pay, aligning internal salary ranges with similar external market positions. Generally, we hire, transfer and promote employees within the entry part of our range, adjusting based on experience, skills, and competencies.
