About The Role

This position has a hybrid work arrangement. On average, this means 1 on-site per week. Please note that this is subject to change due to business priorities.

As our next CXT Business Coordinator, you are a dynamic and organized individual that can provide essential support to our Senior Leadership Team in Client Experience and Technology. You will play a pivotal role in ensuring seamless operations within the team you support. This position offers an exciting opportunity to work closely with leadership and contribute to the success of a fast-paced and innovative organization.

We are looking for someone who loves nothing more than delivering exceptional support to their leader and team who takes pride in being able to build strong relationships that encourage collaboration and teamwork. You will provide a wide range of confidential executive and discretionary support in an effective and well-organized manner. The successful candidate must have experience in a dynamic environment where a high degree of professionalism, confidentiality and attention to detail is required.

Accountabilities
  • Act as the primary point of contact for the leader you support, by managing administrative activities including email accounts, calendars, travel arrangements, expenses management, team operational items such as technology requests, distribution lists, resources and preparing the teams for various internal and external meetings.
  • Facilitate communication and information flow between the leadership team, internal departments, and external stakeholders.
  • Assist in the preparation of reports, presentations, and other documents for meetings and presentations.
  • Coordinate travel arrangements and accommodations for the leadership team as needed.
  • Manage and prioritize incoming requests, emails, and correspondence, ensuring timely responses and follow-up.
  • Support project management activities, including tracking progress, monitoring deadlines, and coordinating resources.
  • Assist in organizing departmental events, team-building activities, and other initiatives to foster a positive and collaborative work environment.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
Skills, Experience & Requirements
  • Proven experience as an administrative assistant, executive assistant, or similar role.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels of the organization.
  • Proficiency in Google Workspace suite (Docs, Sheets, Slides, Gmail) and other productivity tools.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • A proactive and resourceful approach to problem-solving, with a keen attention to detail.
  • Flexibility to adapt to changing priorities and deadlines.
  • A professional, friendly, positive attitude.
  • Bachelor's degree considered an asset (not required).
