Job description
Overview

Administrative assistant role supporting program operations, accounting liaison, document management, scheduling, reporting, and interdepartmental coordination within a pharmaceutical settings context.

Principal Duties And Responsibilities
  • Performs general administrative tasks such as handling mail, typing, and maintenance of filling systems for the program.
  • Process co-payment requests for patients, pharmacies, and / or physicians for programs offering co-payment assistance or concierge payments, as needed.
  • Coordinate with program managers to ensure co-payment ICPs are met.
  • Coordinate with accounting to ensure appropriate payment timelines and accurate payments.
  • Coordinate with the third‑party payment administrator to ensure accuracy of electronic payment processing.
  • Set up and maintain office files, schedule appointments, and arrange meeting rooms as needed.
  • Compile information from various sources for use in reports and other outputs.
  • Audit and maintain reports specific to the business location, identify errors or discrepancies, implement corrections, and notify relevant staff of changes.
  • Update and maintain pertinent business information via computer or departmental files.
  • Assist with a variety of scheduled and unscheduled projects within the department as needed.
  • Draft correspondence and presentations for internal and external contacts.
  • Manage multiple projects across departments as required.
  • Interact with inter-departmental associates and management to resolve workload issues.
  • Maintain positive and professional working relationships with associates and management.
  • Comply with all relevant policies, procedures, safety rules, and regulations.
  • Report all Adverse Events to the assigned units / departments.
  • Performs related duties as assigned.
Experience, Education and Skills
  • Post-secondary education in a related field.
  • 3-5 years of experience in an administrative role in a pharmaceutical setting.
  • In-depth knowledge of Microsoft Office Suite; high data accuracy is essential.
  • Strong communication and interpersonal skills.
  • Ability to work independently and in a team environment.
  • Adaptability to change and to learn new skills as required.
  • Bilingualism in French / English is required.

The successful candidate may have daily contacts with clients, patients, or colleagues from cross-functional teams.
