Job description
Position Overview

The Assistant, Guest Services and Administration is the first point of contact for our CMH guests. The primary function of this role is to receive and direct incoming calls, manage the reception area including deliveries and walk-in visitors, and provide administrative support through data input, ordering office supplies and maintain office equipment. Additionally, this role will focus on supporting our Guest Services team with guest bookings from the time of deposit onwards and provides an outstanding guest experience. The Assistant, Guest Services is responsible for processing waivers, entering payments, sending confirmations, keeping accurate records of guest profiles, and providing general support to the department.

Essential Duties and Responsibilities
  1. Receive and direct incoming calls in a friendly and efficient manner.
  2. Coordinate all aspects of inbound and outbound mail distribution.
  3. Maintain office equipment including service calls, supplies needed and equipment contracts.
  4. Coordinate the processing and shipping of lost and found items.
  5. Reconcile petty cash for reception.
  6. Process invoices, make office-related purchases, and month-end reconciliation.
  7. Open and close the CMH office on Bear Street as required.
  8. Maintain accurate office directories and contact lists.
  9. Manage all aspects of pricing, ordering, and delivering office supplies.
  10. Coordinate office maintenance, cleaning, and off-site storage contracts.
  11. Support new employee onboarding with office keys, nameplates, and business cards.
  12. Process and validate guest waivers, as needed.
  13. Assist with Banff operations rescue bell, as needed.
  14. Enter and manage guest waivers, including follow-up on missing documentation.
  15. Input and maintain guest trip information in database.
  16. Process guest payments and manage guest questionnaires.
  17. Send booking confirmations to guests.
  18. Provide administrative support to trip coordinators as needed.
  19. Help support implementation of CMH health and safety initiatives.
  20. Help support implementation of CMH sustainability initiatives.
  21. Train, participate in and provide support, as required, during emergency response situations.
Minimum Qualifications
  1. Post-secondary education in a related field.
  2. 1-2 years of experience in a professional office setting.
  3. Administrative experience.
  4. Experience in the ski industry, preferred.

Working Conditions

This role works across two different departments: 3 days in Guest Services and 2 days in Reception / Administration.

The schedule for this role will be Tuesday to Saturday.

Able to lift, carry, or move up to 20 pounds on an occasional basis.

Manual dexterity to operate a computer and other common office equipment on a constant basis.

This position may require working evenings, weekends, and holidays based on business needs.

May require occasional travel to CMH areas or industry functions.

Compensation

A competitive hourly compensation package will be provided based upon qualifications, experience, and skill set. Details will be discussed in a personal interview.
