Responsibilities

The Administrative Services Assistant, Facilities provides support to the day-to-day operations of the Facilities Department including, but not limited to ordering office supplies, file and database management, drafting documentation, scheduling meetings, and coordinating room bookings. This position assists with the assignment and scheduling of maintenance staff and contractor work, maintains facilities stock and tool inventory, and maintains building access controls.

The Administrative Services Assistant, Facilities also provides reception duties including answering and responding to telephone inquiries, greeting guests, and providing information to the public.

  • Facilities Administration: You will assist with the coordination of departmental and contract work by entering and monitoring workorders, maintaining contractor documents and agreements, and administrating organizational facilities bookings and building access.
  • Fire Safety: You facilitate the County's fire safety program by updating fire safety plans and training programs, scheduling fire alarm testing and annual fire drills.
  • Administrative Support: You will provide administrative support to Facilities staff, and other departments as required.

In accordance with County Policy, a Police Record Check that is acceptable to the County will be required as a condition of employment.

  • Experience: You have a minimum of two (2) years of related job experience, preferably in an administrative municipal environment. Previous experience with administrating facilities maintenance or building operations, and experience applying the Ontario Building and Fire Codes would be considered an asset.
