Must be Billingual : Language (English Essential, French Essential or Bilingual ) Intermediate Level ( Oral, Comprehension , Written )

It is the bidder's responsibility to include the cost associated with the provision of personal protective equipment for its resources in their all-inclusive hourly rates for the duration of the contract.

Additional mandatory criteria (maximum of two () extra) : Must clearly demonstrate years' experience within the past years in a role that is related to Administrative Assistance or Executive Assistance in a Government of Canada or Department of National Defense environment.

Scope of work

Provide Administrative Support Services.

There is a requirement for administrative assistance services to support the Commanding Officer (CO) and Air Staff Headquarters (HQ) in the management and review of critical documentation and administrative functions. This includes the organization, tracking, and briefing of files, as well as general administrative support to ensure continuity and operational efficiency during a period of personnel transition.

Experience

MANDATORY :

  • years of experience in Administrative Assistant.
  • Experience with Canada Federal / Department of National Defence (DND).

Tasks

  • Assisting in the preparation of correspondence, reports, statements and other documents
  • Maintaining office supplies inventory
  • Processing of applications and forms
  • Maintaining databases, spreadsheets, and inventory information
  • Inputting and updating changes to meeting and appointment schedule
  • Arranging for telephones, e-mail accounts and equipment for new personnel
  • Answering queries from the general public
  • Using electronic reference tools for the purposes of researching and resolving client inquiries
  • Assembling and disseminating correspondence and briefing material
  • Maintaining office equipment and arranging for service
  • Completing courier forms and dispatching couriers and
  • Processing and tracking correspondence (internal and external)
