Job summary

Responsibilities
  • Responsible for word processing and preparing letters/memos.
  • Transmit correspondence to the appropriate parties by email, mail or fax.
  • Answer telephone and email enquiries and relay telephone calls and messages to the appropriate person at the office.
  • Complete administrative forms, such as expense reports.
  • Prepare, proofread, and revise correspondence, invoices, presentations, brochures, publications, reports, and related materials.
  • Schedule and confirm appointments (calls or meetings).
  • Order office supplies and maintain inventory.
  • Establish and maintain document filing systems (electronic or hardcopy).
  • Set up and maintain office procedures.
  • Greet visitors to the office, determine the nature of their visit, and direct them to the appropriate person at the office.
  • Record and prepare minutes of meetings.
  • Arrange travel schedules and make reservations such as flights, hotels, or rental cars.
  • May compile data, statistics, and other information to support research activities.
  • May organize conferences.
