Job description

We are seeking a detail-oriented and highly organized Accounts Receivable and Sales Logistics Coordinator to join our Finance and Sales Operations team. This role is primarily responsible for managing and executing the invoice generation process, maintaining customer billing records, and coordinating with internal team to ensure accurate and timely order processing. The ideal candidate will also support logistical operations related to sales orders and product delivery, ensuring smooth coordination between clients, vendors, and internal stakeholders.

Key Responsibilities
Accounts Receivable & Invoicing
  • Prepare and send client invoices on a recurring and ad-hoc basis.
  • Maintain and manage the billing schedule and invoice calendar.
  • Coordinate with the Sales and Account Management teams to ensure accurate billing details and special client requirements.
  • Maintain customer data integrity in Salesforce and NetSuite, including payment terms and billing contacts.
  • Support with invoice-related client inquiries (shared responsibility).
Sales Logistics & Order Coordination
  • Process sales orders/opportunities in Salesforce for our Canadian subsidiary.
  • Coordinate with vendors/distributors for quote refreshes, purchase orders, and shipping logistics.
  • Provide clients with order confirmations, account details, and tracking information.
  • Support basic license and account assistance, including RMA handling and internal orders.
Sales Operations Support
  • Ensure all contracts, subscriptions, and sales order data are accurately entered and maintained in Salesforce.
  • Support monthly data validation and perform periodic internal audits of bookings, sales orders, and invoices to ensure accuracy, completeness, and alignment with company’s SOPs.
  • Participate in cross-functional meetings related to invoicing, client onboarding, and order delivery logistics.
Requirements
Education & Experience
  • Post-secondary education in Accounting/Finance, Business Administration, or a related field.
  • 4+ years of experience in Sales Operations or closely related role.
  • Experience with CRM and ERP platforms (Salesforce and NetSuite preferred).
Technical Skills
  • Proficient in Microsoft Excel.
  • Strong working knowledge of order processing from start to finish and Accounts Receivable function highly desired.
  • Familiarity with Salesforce opportunity and contract management, and Salesforce overall, is a strong asset. This role will be assigned Admin access and expected to perform basic tasks within Salesforce CRM.

Language and Location Requirements

  • Must be located in Montreal or nearby vicinity.
  • Remote work environment with one short in-office visit per week in Downtown Montreal to deposit customer checks.
