Trade Operations Specialist
Responsibilities
- Collaborate closely with the Trading and Shipping Departments to coordinate seaborne deliveries.
- Working in the Trade Operations Department and responsible for the timely preparation of import and export documentation in compliance with the specific requirements of each shipment and/or the associated Letters of Credit.
- Manage daily communication with suppliers, customers, shipping agents, banks, surveyors, and other relevant parties to address documentation requirements for cross-border shipments, both on the purchase and sales sides.
- Ensure the timely preparation and issuance of all cargo-related documents, typically 10 to 15 per shipment required for the importation of goods into the destination country.
- Oversee the complete operational flow of shipments, including invoicing, documentation, Letters of Credit presentation, and processing invoices of vendor payment requests.
- Handle the Import/Export Letters of Credit, Collections, and related banking transactions in accordance with international trade regulations (UCP 600, ISBP 745, URC 522, etc.).
- Coordinate invoicing and invoice processing for both incoming and outgoing shipments, and provide accurate reporting.
- Serve as the key point of contact for internal and external stakeholders throughout the entire shipping and documentation process.
Qualifications
- A university degree, preferably in Logistics, International Trade, or a related discipline.
- 1–3 years of professional experience in international trade operations, ideally within import/export departments, shipping or freight forwarding companies, or financial institutions.
- Solid understanding of export/ import processes, including shipping documentation, documentary credits, and bank guarantees.
- Working knowledge of key trade and finance frameworks such as: UCP 600, ISBP 745, ISP 98, URC 522, Incoterms 2020, Bill of Lading terms, and international invoicing standards.
- Advanced to upper-intermediate proficiency in English is required; additional language skills (e.g., French) are a plus.
- Familiarity with ERP systems, preferably JD Edwards.
- Proficient in Microsoft Office applications (Excel, Word, Outlook, etc.).
- Detail-oriented, highly organized, and results-driven, with the ability to meet tight deadlines in a high-pressure environment.
- Strong analytical thinking, problem-solving, and time management skills combined with a professional and composed demeanor.
