The Technical Assistant will be Provide comprehensive technical and administrative support to the Head of Projects – Asia and Strategic Projects and the Project Manager, ensuring effective coordination of site activities, documentation, logistics, reporting, and compliance throughout project and outage execution.
Key Accountabilities
Administrative & Project Support
- Provide full administrative support to the Head of Projects – Asia and Strategic Projects and the Project Manager, enabling efficient project delivery.
- Support project teams with day-to-day coordination, allowing management to focus on site execution.
- Maintain organized project archives for all outage, progress, and completion reports.
Reporting & Documentation
- Prepare and manage all electrical incoming and outgoing motor reports, including photographic records.
- Compile and issue Work in Progress (WIP) reports and provide regular project status updates to clients.
- Prepare and submit daily progress reports to plant representatives.
- Ensure all outage and project documentation is properly archived and easily retrievable.
- Distribute approved method statements, risk assessments, drawings, and technical specifications relevant to daily site activities.
- Track and update electrical and instrumentation calibration expiry dates.
Coordination & Logistics
- Coordinate issuance of gate passes and PPE for project personnel.
Act as focal point for personnel coordination, including:
Timesheets
- HR and IT-related queries
- Accommodation, transportation, and meal arrangements
- Monitor and ensure compliance with in-country stay duration requirements, including flight and transfer requests.
Minimum Qualifications
- Bachelors in cooperative management
Minimum Experience
- 5 years’ experience in a similar role mainly in motor division
Skills
- Strong organizational and coordination skills
- Excellent written and verbal communication
- Experience in technical reporting and documentation control
- Understanding of electrical motors, instruments, and project workflows
- Ability to work under pressure in project and outage-driven environments
- High attention to detail and compliance requirements
