Senior Project Manager (Creative Agency)

Role Summary

We are hiring a Senior Project Manager to lead end-to-end delivery of multiple creative and production projects—ensuring on-time, on-budget, and high-quality execution across internal teams and external suppliers. This role owns the delivery system: planning, resourcing, workflows, approvals, risk control, and client communication. The ideal candidate is structured, calm under pressure, and experienced in managing creative teams without killing creativity—while removing bottlenecks and driving smooth throughput.

Key Responsibilities
  • 1) Project Delivery & Governance
    • Lead projects from kickoff to closure (brief → concept → production → delivery → handover).
    • Build project plans (scope, timeline, milestones, dependencies, budget, RAID).
    • Ensure adherence to SLA timelines, quality standards, and internal delivery processes.
    • Run weekly delivery reviews and daily follow-ups as needed.
  • 2) Client Management & Communication
    • Act as the main day-to-day client contact for delivery: status, risks, approvals, expectations.
    • Translate client goals into clear briefs, aligned deliverables, and measurable acceptance criteria.
    • Manage feedback loops and reduce rework through structured approvals and version control.
  • 3) Resource & Capacity Management
    • Plan and allocate workload across creative, production, and operations teams.
    • Manage utilization and priorities; prevent overload and ensure realistic commitments.
    • Coordinate freelancers, vendors, print houses, fabricators, and production partners when required.
  • 4) Workflow, Process, and Bottleneck Removal (TOC mindset)
    • Identify the main delivery constraint/bottleneck each week and remove it (process, approval delays, resource gaps).
    • Implement practical improvements: templates, checklists, approval matrix, sprint planning, and better handoffs.
  • 5) Quality Control & Risk Management
    • Maintain delivery quality: reviews, QA checkpoints, sign-offs, and compliance with brand guidelines.
    • Proactively manage risks (scope creep, missed approvals, late inputs, supplier delays).
    • Own change control: document variations, timeline impacts, cost implications, and approvals.
  • 6) Reporting & Documentation
    • Maintain project documentation: brief, SOW, timelines, meeting notes, trackers, action logs.
    • Provide crisp executive reporting to management: progress, blockers, next steps, budget status.
Qualifications
  • Required Skills & Experience
  • 5–10+ years project management experience in a creative agency / marketing / production / events environment.
  • Proven track record delivering multiple projects simultaneously under tight timelines.
  • Strong understanding of creative workflows (branding, design, content, video, events, production).
  • Strong stakeholder management and ability to handle difficult conversations professionally.
  • Excellent organization, prioritization, and attention to detail.
  • Hands-on with PM tools (e.g., Monday.com / Jira / Asana / ClickUp / MS Project) and shared documentation standards.
  • Strong English (Arabic is a plus).
Preferred Qualifications
  • PMP / PRINCE2 / Agile certification (nice to have).
  • Experience in event production or high-complexity, multi-vendor projects.
  • Familiarity with process improvement approaches (Agile/Lean/TOC).
