General Services Coordinator - 12 Months Contract - Freelance

Streamline contracts to reduce costs and boost profitability by negotiating with suppliers and applying industry expertise. Manage budget, purchase orders, and inventory, ensuring compliance with Company policies and uninterrupted service delivery.

Key responsibilities
  • Mange the budget accurately and in coordination with Procurement and Finance.
  • Source and evaluate suppliers, obtain quotations, and ensure best value and compliance with company procedures.
  • Maintain supplier records and monitor performance, delivery and service quality.
  • Track GS budget utilization and maintain updated financial and procurement trackers.
  • Monitor commitments versus available budget and report any variances or overspending.
  • Verify invoices with Finance and follow up on pending payments.
  • Oversee store operations and maintain accurate records of stock receipts, issues, and balances.
  • Conduct regular stock counts, reconcile discrepancies, and ensure proper labeling and storage.
  • Maintain live dashboards and trackers for procurement,budget, and inventory updates.
  • Maintain supplier records, monitor vendor performance, and escalation issues to the GS Section Head.
  • Ensure that all offices possess the supplies required for their operation according to standards and ensure that all purchases comply with the budget.
  • Support the unit with the control flow of materials to offices to get the right quality of supplies and satisfy the demand during period of replenishment. Carry reserve stock to avoid stock out and stabilize fluctuations in consumption.
  • Manage assets to achieve the greatest return and the process of maintaining facilities systems, with the objective of providing the best possible service to users by deploying, operating, maintaining, upgrading, and disposing of assets cost-effectively.
