Job summary

A prominent medical technology company in Dubai is seeking an experienced administrative professional to support the Vice President. You will manage diaries, travel arrangements, and communications while collaborating with various stakeholders. The ideal candidate should have at least 5 years of experience in a similar role and strong organizational skills. Advanced Microsoft Office skills are a must for creating reports and presentations. This role offers flexibility to work remotely, hybrid, or onsite.

Qualifications

  • At least 5 years of experience in a similar position.
  • Touch typing and audio typing to 80 words per minute.

Responsibilities

  • Provide daily confidential support to the Vice President.
  • Manage diary emails and travel arrangements for the Vice President.
  • Collaborate with stakeholders to collect input for newsletters.
  • Support VP & GM in setting up town halls and driving communication.

Work Flexibility: Remote or Hybrid or Onsite

What You Will Do:
  • Provide daily confidential support to Vice President.
  • Manage Diary emails flagging with urgent action and bookings of Vice President as well as travel arrangements.
  • Collaborate with different stakeholders to collect the input for the newsletter and define the content.
  • Manage other email channels like Marketo for communication campaigns.
  • Support the VP & GM in setting up the town hall either live or virtually and drive the communication.
  • Attend and minute important meetings type up plans and communicate with direct reports and prepare advanced PowerPoint presentations coordinate key events.
  • Updating budget lists and management of compliance paperwork filing and documenting.
  • Complete monthly expense report for Vice President also ensuring that financial procedures are followed in relation to purchase orders etc.
What You Need
  • Educational degree in a relevant field
  • At least 5 years of experience in a similar position
  • Advanced skills in Microsoft Office especially PowerPoint
  • Touch typing and audio typing to 80 words per minute
  • Excellent communication skills
  • Strong organizational skills
  • Time Management skills
  • Ability to work independently
