Job Summary:

GluCare Integrated Diabetes Center is seeking a highly organized and proactive Clinical Scheduler to manage and coordinate physician schedules across all GluCare facilities. This role is critical to ensuring optimal doctor coverage, efficient room utilization, and uninterrupted patient care delivery.

The Clinical Scheduler will act as the central coordination point between physicians, clinic operations, and HR—ensuring schedules are balanced, coverage is sufficient, and operational decisions support both clinical excellence and business efficiency.

Key Responsibilities:
1. Clinical Scheduling & Coverage:
  • Coordinate and manage doctors’ schedules across all GluCare facilities.
  • Ensure appropriate physician coverage for all clinics, specialties, and operating hours.
  • Balance workloads to avoid overbooking, underutilization, or coverage gaps.
  • Adjust schedules in response to operational needs, absences, or last‑minute changes.
2. Room & Resource Utilization:
  • Plan and optimize room utilization within each facility based on physician availability, specialty requirements, and patient demand.
  • Coordinate room allocation to maximize efficiency and minimize idle capacity.
  • Work closely with clinic teams to resolve scheduling or space conflicts.
3. Leave & Absence Coordination:
  • Review doctors’ annual leave, study leave, or absence requests against existing schedules.
  • Assess whether adequate clinical coverage is available before approving leave eligibility.
  • Communicate leave feasibility and coverage confirmation to HR for system approval.
  • Support contingency planning for sick leave or unplanned absences.
4. Operational Coordination:
  • Act as the liaison between physicians, operations, front desk, and HR regarding scheduling matters.
  • Ensure schedules are accurately reflected in the EMR and scheduling systems.
  • Support clinic readiness by aligning staffing with patient volumes and service demand.
5. Systems & Reporting:
  • Maintain accurate scheduling records within the EMR and internal systems.
  • Identify scheduling inefficiencies and propose improvements.
  • Generate basic scheduling, utilization, and coverage reports as required.

Understands, follows and supports all hospital infection control programs to ensure patient and staff safety.

Requirements & Qualifications:
Experience:
  • Previous healthcare experience is mandatory (clinic, hospital, or medical center environment).
  • Proven experience coordinating clinical or physician schedules.
  • Hands‑on experience working with EMR systems and digital scheduling tools.
Skills & Competencies:
  • Excellent coordination and planning skills with strong attention to detail.
  • Strong understanding of shift planning, coverage models, and clinical workflows.
  • Ability to manage competing priorities in a fast‑paced healthcare environment.
  • Confident communicator able to liaise with doctors, operations teams, and HR.
  • Problem‑solving mindset with the ability to anticipate coverage risks.
Preferred:
  • Experience in multi‑site or multi‑specialty healthcare operations.
  • Familiarity with UAE healthcare operations and clinic workflows.
