Qualifications

We are seeking a reliable and proactive Personal Assistant to support the Directors of a fast-paced manufacturing company based in Beaconvale, Parow. This is a full-time, permanent role in the FMCG/cosmetics industry, ideal for a structured professional who thrives in a high-trust, hands-on environment.

Requirements
  • Matric (Grade 12)
  • 3–5 years’ experience as a Personal Assistant, Executive Assistant
  • Strong skills in Excel, email, and diary management
  • Experience with MRP, Oracle, SAP and ISO knowledge advantage.
  • Experience in manufacturing, FMCG, cosmetics, or logistics is a strong advantage
  • Exposure to import/export administration is beneficial
  • Highly organised, proactive, and able to work under pressure
  • Excellent communication skills and discretion in handling confidential matters
Key Responsibilities
  • Manage Directors’ diaries, appointments, travel, and daily schedules
  • Screen calls, manage emails, handle visitors, and protect executive time
  • Book retail orders, prepare weekly spreadsheets, chase open quotes, and ensure client follow-through
  • Coordinate logistics, including truck deliveries, courier collections, and supplier deliveries
  • Handle packaging and procurement admin, including ordering samples, raising POs, and coordinating deliveries
  • Support import/export processes, including documentation, forwarders, and compliance
  • Assist with costing spreadsheets, BOM documentation, and operational paperwork
  • Administer barcodes via SGS, maintain registers, and support retail product listings (Clicks, Dis-Chem, etc.)
