Responsibilities
- Support the SUPERINTENDENT with dry dock and repair project planning, execution, and close-out, attending the project site when required.
- Assist SUPERINTENDENT with OPEX budget preparation.
- Assist SUPERINTENDENT with service engineer arrangement and coordination for boarding.
- Review, maintain and prepare vessel shareholder presentation for agreed submission dates.
- Maintain record of the fleet service arrangements & EOM reports including technical bulletins from makers.
- Complete monthly post meeting reports for Charterers / Fleet.
- Administer the Port disbursement account, detailing line items and account codes.
- Prepare Monthly Management Meeting minutes. Provide summary to SUPERINTENDENT.
- Send to vessels Class status report monthly.
- Assist works related EU ETS, EUMRV and IMO DCS when required.
- Support PAL occurrence review and processing as defined by Fleet Manager and assist SUPERINTENDENT for closing occurrences with the review from POWER BI.
- Appoint Agents as per SUPERINTENDENT instructions.
- Any other documentary and filing works as required by team.
- Support SUPERINTENDENT with Guarantee claims administration for new built.
- Review and maintain fleet weekly operational records data monthly KPI data and ensure fleet team are informed.
- Updating Fleet/Vessel Records on the internal database / share point when required.
- Update overdue occurrences and Voyage schedule in Weekly Fleet Operational file.
- Send to Class NK portal the completed Voyage data for vessels from ABLOG.
- Assist in building and managing relationships with Agents, supporting negotiations and cost analysis to drive value where required.
- Develop and apply data analysis techniques to provide meaningful reporting on vessel performance and operational efficiency.
Requirements
- Bachelor’s Degree (preferably in ship management, maritime operations or science) or (Similar qualification)
- Attended training in Secretarial skills
- Excellent written and verbal communication skills
- Motivated to work in a challenging, fast paced, and result-driven environment
