Senior IFM Specialist- Your future position?

Job Purpose

  • Key point of contact for employees and IFM vendor and non‑IFM managed vendors.
  • Work with IFM vendor to manage and resolve hard and soft facilities operation issues.
  • Ensure IFM vendor and non‑IFM managed vendors meet all key performance indicators as set out in the management contract.

Main responsibilities:

Internal Stakeholder Management

  • Proactively engage internal stakeholders to ensure that services expectations are met.
  • Build and develop effective stakeholder relationships across multiple levels of the organisation.
  • On‑site key point of contact for IFM vendor and employees.
  • Implement and ensure escalation procedures are in place and observed for problem reporting.
  • Co‑ordinate and monitor the vendor’s performance against deliverables set in the Service Levels Agreements (SLAs) and against the Company requirements.
  • Provide advisory to IFM vendor on operational issues.
  • Prepare monthly management report for Givaudan’s Management Committee and IFM committee.
  • Administer the master data for approval process in vendor’s application.
  • Support IM&S negotiation with vendors based on IFM technical requirements.
  • Work closely with Continuous Improvement team to find cost savings initiatives and service improvement.
  • Active review of service offerings through IFM and non‑IFM vendors.

Your professional profile includes:

  • Bachelor’s degree or Diploma in facilities management, building, business, engineering or other related fields.
  • At least 5‑8 years’ relevant experience in facilities management including soft and hard services.
  • Candidates with training and experience from hospitality and service industries would be preferred.
  • Exposure to office, laboratory or manufacturing environment is an advantage.
  • Knowledge of vendor management for outsourced services is preferred.
  • Collaborative and customer‑centric, with a proactive learning mindset and a willingness to ask questions.
