SUMMARY OF THE ROLE

The incumbent will support the development, implementation and maintenance of MOHH HRIS system (including integration with external systems such as SAP ERP system, SAP S/4HANA, Automated ID and Access management system etc), which serves as the “single source of truth” for data analytics and reporting. The incumbent will support the HRIS manager/team lead to continuously identify areas of improvement through system enhancement and/or the use of technological solutions to improve HR strategies and processes as well as to provide an amazing employee experience.

JOB RESPONSIBILITIES

1. Systems Implementation, Maintenance & Support

  • Serve as subject matter expert on system issues and provide recommendations / solutions as required to support the smooth-running of HR operations.
  • Support the implementation of new HR systems/ solutions and to be actively involved in the various phases of the life cycle including participating in the study for the needs of a new system, design, development as well as partnering with IT vendor & Synapxe on the implementation.
  • Ensure the user adoption of new platform and conduct user training for HR staff/ administrator, when required.
  • Manage all systems’ related issues including issues arising from system integrations and work with IT vendor to provide efficient resolution to users in a timely manner.
  • Partner with cross-functional team members, IT partner & Synapxe to ensure all HRIS-related issues/ enhancements / queries are addressed in a timely manner.
  • Manage requests for process improvements, system development and support the approval process (including putting up paper/email submission) to procure services from the IT vendor.
  • Synthesize and document requirements for process improvement, enhancements, and implementation of new system/solution.
  • Develop, document and maintain all current and new HRIS business process workflows for efficiency and compliance.
  • Manage the setup and management/ organisation of data in MOHH HRIS, including performing mass upload of data on periodic basis, to meet payroll timelines.

2. Process Improvement through technologies / automation

  • Maintain awareness of current / latest technological trends and work with various stakeholders to review requirements / processes and actively suggest improvements / solutions to support policy and process changes to improve productivity.

3. Data Analytics & Reporting

  • Understand stakeholder’s requirements and assist in the design and generation of customized reports / dashboards on a periodic / need-basis from MOHH HRIS.
  • Partner MOHH Data Analytics (DA) Team to automate the generation of HR dashboards

4. Supporting and Complying with System Access Audit and PDPA

  • Administer users’ system access to perform periodic audit and testing to ensure access is granted according to the approved access framework (i.e. “need-to” basis, no excessive rights given)
  • Review adequacies of PDPA policies and procedures and put in place controls & documentations to ensure compliance with PDPA/IT security policy and ensure data integrity of system(s).
JOB REQUIREMENTS

Years of Experience Required:

  • At least 2-3 years’ experience in administering HR systems/ project management or relevant
  • Entry-level candidates with relevant internship experience may be considered for the Executive role
  • Experience / involvement in supporting end-users in HRIS project implementations (particularly SAP SuccessFactors) in a large stakeholder setting is preferred.
  • Strong understanding of HR policies and processes.
