Job summary

A Singapore-based company is looking for an Executive Secretary to provide high-level executive support to senior management. You will manage calendars, arrange travel, attend meetings, and draft proposals. The ideal candidate has 3-5 years of experience in supporting top management, is proficient in PowerPoint and Excel, and has excellent communication skills. Working location is Tai Seng near MRT, 5 days per week.

Qualifications

  • Degree or Diploma education.

  • Computer savvy, especially in PowerPoint & Excel.

  • Experience in business development or sales management.

This job opening seeks a highly organized and proactive Executive Secretary to provide high-level administrative and executive support to senior management, in the areas of sales and business development. In addition to managing schedules and office coordination, the role involves active participation in executive functions such as attending meetings, drafting minutes and proposals, and supporting decision-making processes.

Key Responsibilities
  • Manage and organize Group CEO's calendars, appointments, and travel arrangements.
  • Attend executive and management meetings, take accurate minutes, and follow up on / complete action items.
  • Draft, review, and edit proposals, reports, correspondence, and presentations.
  • Coordinate communication and build rapport with external stakeholders and business partners.
  • Collaborate with internal departments and executives to ensure smooth execution of projects and initiatives, and relay communication.
  • Prepare meeting agendas and briefing materials, and ensure timely distribution.
  • Handle confidential information with discretion and professionalism.
  • Assist with project coordination and additional tasks assigned or directed by the Group CEO.
Qualifications & Skills
  • Degree or Diploma education.
  • 3-5 years relevant experience in support top management.
  • Computer savvy, in particular PowerPoint & Excel for data and information presentation.

Working location: Tai Seng (near Tai Seng MRT station)
