Job summary

An educational support organization in Singapore is seeking an administrative assistant to manage various office tasks including document processing, data management, and front desk support. The role requires a GCE 'O' level qualification with proficiency in MS Office, particularly Excel. Candidates should be meticulous, detail-oriented, and ideally first-aid trained. This role will involve a regular work schedule from Mondays to Fridays, with occasional support for school events.

Responsibilities

  • Execute accurate typing, formatting, and printing of official correspondence.

  • Answer, screen, and direct all telephone calls accurately.
  • Assist in collecting, collating, and analyzing survey data.
  • Prepare and serve refreshments for meetings and events.
  • Receive, log, sort, and distribute all incoming mail.
  • Monitor students in the sick bay and provide basic first aid.
  • Assist staff with document finishing tasks and material preparation.
  • Conduct regular stock checks and organize office supplies.
  • Perform ad-hoc administrative duties as required.

Working Hour
  • Mondays to Thursdays: 8:30am to 5:30pm, inclusive of 45 mins lunch break
  • Fridays: 9:00am to 5:30pm, inclusive of 45 mins lunch break
  • Service not required on Saturdays, Sundays and gazetted public holidays

🛠️ Scope of Services
  1. ⌨️ Document Processing: Execute accurate typing, formatting, and printing of official correspondence, reports, notices, and other school-related documents.
  2. 📊 Data Management: Perform systematic data entry and updates into school databases and digital systems, maintaining the integrity and confidentiality of student and administrative records.
  3. 🖥️ Frontline & Reception Management: Professionally manage the General Office front desk, handling visitor inquiries, managing sign‑ins, and maintaining a tidy and welcoming reception area.
  4. 📞 Communication Coordination: Serve as a primary communication link by answering, screening, and directing all telephone calls to appropriate staff, taking clear and timely messages.
  5. 📋 Survey & Feedback Processing: Assist in the collection, collation, and preliminary analysis of data from school surveys, feedback forms, and evaluation sheets.
  6. Event & Meeting Support: Prepare, set up, and serve light refreshments for school meetings, conferences, parent engagement sessions, and special events.
  7. 📦 Mail & Delivery Handling: Receive, log, sort, and distribute all incoming mail, parcels, and deliveries, ensuring prompt internal routing to the correct departments or individuals.
  8. 🏥 Student Health & Welfare Assistance: Attend to and monitor students in the sick bay who are unwell or have minor injuries, providing comfort, basic first aid if qualified, and maintaining incident records until handover to a guardian or nurse.
  9. 📎 Material Preparation Support: Assist teaching and administrative staff with document finishing tasks, including binding, laminating, cutting, and assembling instructional materials and presentation packages.
  10. 📦 Supply & Inventory Management: Oversee the school’s stationery and office supply stores, conducting regular stock checks, initiating purchase requests, and organizing supplies for easy access and efficient use.
  11. 📌 General Administrative Support: Perform some ad‑hoc administrative and operational duties as assigned by authorized school personnel to support the smooth daily functioning of the General Office and school‑wide activities.
