Job Summary
Orthopaedia is seeking a Patient Service Coordinator / Executive to support patient services, clinic operations, and clinical assistance, ensuring a high standard of service delivery and patient care. You will serve as the first point of contact for patients and caregivers, supporting administrative, clinical, and operational functions of the clinic.
Responsibilities
- Respond promptly and professionally to patient enquiries via phone, email, messaging platforms, and walk-ins to provide clear information and support
- Manage patient registration, schedule appointments, confirm bookings, and conduct follow-ups using the Plato clinic system to ensure smooth clinic operations
- Provide accurate explanations of treatment procedures, pricing, and safety requirements to patients and caregivers
- Guide patients and caregivers through check-in, consent, and in-clinic preparation processes to facilitate efficient patient flow
- Process payments, reconcile daily transactions, and follow up on outstanding invoices to maintain accurate financial records
- Prepare medical reports, letters, and related documentation to support clinical and administrative needs
- Maintain digital filing of patient records in compliance with PDPA requirements to ensure data security and confidentiality
- Handle patient feedback and service recovery professionally to enhance patient satisfaction
- Operate medical scanning devices accurately and responsibly to assist clinical assessments
- Review scan results and perform basic edits as needed to support clinical evaluations
- Capture clinical photographs for progress tracking to document patient treatment outcomes
- Communicate scan results clearly to caregivers under clinical guidance to keep them informed
- Assist Orthotists during fittings, casting, and orthoses modifications to support clinical procedures
- Track incoming and outgoing inventory, including orthoses orders, to maintain adequate stock levels
- Monitor order status and ensure timely follow-up to prevent delays in patient care
- Maintain a clean, safe, and welcoming clinic environment by complying with workplace safety and infection control standards
Required competencies and certifications
- Proficient in Microsoft Office applications to support administrative tasks
- Ability to work effectively in a team to contribute to smooth clinic operations
- Service-oriented attitude with a positive learning mindset to support patient care
- Ability to work on alternate Saturdays as required
Preferred competencies and qualifications
- Higher Nitec with 3–5 years of relevant working experience, or Diploma with 1 year of working experience preferred
- Experience in healthcare, customer service, or operating biomedical devices to enhance role effectiveness
- Nursing background welcomed to support clinical assistance
Role level and title will be commensurate with experience
