Key Responsibilities
1. Asset & Inventory Support
- Assist in tracking medical, non-medical and facilities equipment.
- Maintain inventory records, tagging information, repair history and location logs.
- Support asset verification exercises and audits.
2. Documentation & Records Management
- File and maintain contracts, quotations, POs, invoices, maintenance and service reports.
- Ensure documents are properly organised for easy retrieval and audit purposes.
3. Kitchen & Food Safety Support
- Assist in kitchen audits and follow‑up on non‑compliance items.
- Raise Purchase Requisitions for kitchen supplies and consumables when required.
- Coordinate operational matters with dietitians and nursing teams.
4. Central Store & Consumables Support
- Assist in receiving deliveries, stocking, and issuing of medical, housekeeping and general consumables.
- Support and attend to ward or departmental requests.
- Assist in monthly consumable usage tracking and replenishment planning.
5. Facilities & Equipment Support
- Log and report facilities issues to operations executive (e.g. leaks, faulty lights, damaged fixtures).
- Support internal and external events and emergency preparedness activities.
- Assist in audit and inspection preparations (SCDF, NEA, MOH).
6. Maintenance Support
- Assist technicians in maintaining issue logs and repair records.
- Assist technicians in stock take and replenishment of stocks.
7. General Administrative & Operational Support
- Assist in scheduling meetings with vendors and internal stakeholders.
- Prepare simple reports, update noticeboards and support staff briefings.
- Assist in any other related matters as set out by Head of Operations and Operations Executive.
Requirements
- Diploma or relevant certification in Business Administration, Supply Chain, Operations, or related fields
- Minimum 1 year of experience in administrative or operational support.
- Strong organizational and time management skills; able to multitask and prioritize effectively.
- Proficient in Microsoft Office applications.
- Detail‑oriented and able to work independently.
- Positive attitude and willingness to learn and adapt to changing demands.
