Overview

We are looking for an experienced legal secretary to join one of our Singapore litigation practices. This role provides support with all administrative tasks including Partner level support, management of client files, billing and financial activities, client relationship and business development coordination, diary and travel management, and document production. The role supports different practice groups to cover leave, busy periods and provide billing support. The Legal Secretary provides dedicated support to a range of fee earners and Partners, working as part of a broader secretarial support team.

Key Responsibilities
  • Assisting the Partner with related matters and any ad-hoc tasks
  • Providing secretarial and administrative support including calendar management, meeting scheduling, and coordinating appointments
  • Answering and filtering telephone calls; liaising with external and internal clients and their secretaries; handling queries and messages
  • Managing incoming correspondence: emails, scanning, and saving to the document management system
  • Managing outgoing correspondence: emails and mail preparation for collection
  • Photocopying/printing: scanning, maintaining paper files, and preparing bundles/files
  • Client filing: maintaining electronic files; indexing; trial bundles; archiving including off-site retrievals
  • Communication: maintaining open communication with internal and external clients; liaising with lawyers, secretaries and admin staff in Singapore and other regions
  • Prioritisation: managing own workload to meet deadlines
  • Excel management: inputting, logging, merging and generating reports as required
  • Billing: general billing administration, including preparing and reviewing draft bills and related correspondence
  • Financial administration: handling disbursement bills, third party invoices, expenses claims and cheque requisitions
  • E-litigation: filing court documents, managing e-litigation portal materials, tracking hearing dates and cause book searches
  • Occasional receptionist coverage
  • Other duties including running errands as required
Essential Skills & Experience
  • Proven legal secretary experience; experience as a Personal Assistant is a plus
  • Recognised secretarial qualification with good academics
  • Accurate typing (60+ wpm)
  • Proficient in MS Office (Outlook, Word, Excel, PowerPoint)
  • Strong spelling, grammar and legal terminology
  • High attention to detail and accuracy
  • Ability to multitask and prioritise daily workload to meet deadlines
  • Excellent organisational and communication skills
  • Demonstrates initiative and proactivity
  • Calm and professional demeanor under pressure
