Job summary
A construction management firm located in Singapore is looking for an experienced senior administrator to oversee routine project operations. Responsibilities include managing inventory, assisting with compliance and permitting, and overseeing administrative functions. A minimum of 15 years in the field is required, with a strong knowledge of civil and structural works preferred. - Supervise & oversee routine POC & JV integrated works (eg site procurement, approve petty cash purchase, backcharge, etc) including inventory records & maintenance regime for key items.
- Assist in office setup, temporary works & infrastructure (eg TOL /FO application and all licences as required by other relevant Authority (EMA/PUB/SCDF/IMDA/SFA/SLA/CAA) including inspections
- Monitor pest-control/wastage minimization/ disposal based on ISO framework & ensure compliances to regulations set for environment control (air/water/noise/vibration/etc) recycling etc.
- Perform Certified Internal Auditing and corrective action.
- Draft basic agreements & letters. Prepare documentation and attend court cases
- Payroll preparation for workers/drivers and HR-related matter eg training /worker welfare appraisal & all other worker records ii) staff timesheet/allowances/PIL iii) update project directory & contact list assist in account-payable (eg check DO & invoice for payment) &receivables (raise PO to debtors/sales), raise PIRA for approval.
- Assist to check partners’ billing to JV
- Report to client/consultant (eg weekly manpower strength, secrecy undertaking, owner provision, IT eqpt migration, etc)
- Attend to all insurance matter [eg i) arrange cargo/voyage, hull/P&I, machinery/vehicles cover ii) policy endorsement for new/additional works iii) deal with C.A.R & W.I.C.A claims and/or any others]
- Apply for funding/subsidies/rebate/appeal (eg CPF levy, MOM/BCA/NEA incentive schemes
- Plan for events/ceremonies /VIP visits/year-end goodwill. Point of contact for social media and public engagement
Requirements:
- A minimum of 15 years of experience in a senior administrative or management role within construction project-based environment.
- Good knowledge of civil, structural, or reclamation work is highly .
