Job summary

A leading solutions provider in Singapore is seeking a proactive candidate for a role that involves supporting the HR department and managing project administration tasks. The ideal candidate will have experience in the construction or facility management industry, strong project management skills, and fluency in Mandarin to communicate with associates. Responsibilities include liaising with subcontractors, maintaining records in a new ERP system, and ensuring smooth office operations. This position offers a dynamic work environment, requiring independence and strong interpersonal skills.

Qualifications

  • Minimum 2 years of relevant working experience in Project Administration for construction or facility management.
  • Able to work in a fast-paced environment.
  • Highly driven and independent.

Responsibilities

  • Provide support to the HR department in day-to-day operations.
  • Manage general workers administration including work permits and training.
  • Liaise with 3rd party subcontractors for worker supply arrangements.
  • Actively involved in the new ERP system.
  • Maintain and update records from the database.
  • Ensure up to date manpower headcounts and organization charts.
  • Coordinate on IT related equipment.
  • Handle other office administrative matters.

Responsibilities
  • Provide support to the Human Resource department in day-to-day operations to align with company business goals and objectives
  • Work with site coordinators to manage the general workers administration that will include work permits applications, renewals and cancellations as well as workers training, certifications, security bonds, etc
  • Liaise with 3rd party sub-contractors in worker supply arrangement including receiving price quotation and coordinate between project teams and the manpower suppliers.
  • Actively involved in the new ERP system
  • Support in data entry for certain group level in new ERP system and maintain and update records from the database
  • Ensure up to date manpower headcounts and organization charts
  • Coordinate on IT related equipment pertaining to laptop allocation and inventory management
  • Any other office administrative matters
Qualifications
  • Fluent in Mandarin speaking (to liaise with Mandarin speaking associates)
  • Good knowledge and skill in Project Management.
  • Minimum 2 years of relevant working experience in Project Administration for construction, design or building industry or property / facility management.
  • Should be highly driven and independent; possess strong analytical, communication and interpersonal skills.
  • 5.5 days’ work
  • Able to work in a fast-paced environment
