Job description

Job Description:

  • Opens and prepares the clinic daily, ensuring the office is in order and ready to serve patients before their arrival by reviewing schedules, checking messages, managing supplies, and maintaining petty cash.
  • Welcomes patients upon arrival, manages their records and information accurately, and ensures smooth post-consultation processes including scheduling next appointment and payment collection.
  • Manages appointment scheduling by minimizing gaps, confirming bookings in advance, preparing patient charts and radiographs, and effectively using pre-blocks for priority cases.
  • Handles general correspondence by sorting and responding to mail and emails, processing referral letters, and sending welcome and thank-you letters to patients and referrers.
  • Ensures staffing levels are utilised – maximising productivity and minimising overtime
  • At the end of day, sanitize, clean and prepare the treatment room for the next day, ensuring lab work has arrived and promptly reporting any issues.
  • Manage payments, invoicing, petty cash, banking, payroll, and debt collection while ensuring accurate bookkeeping.
  • Maintain dental software, Files patient information accurately, backup data regularly, and ensure equipment readiness and cleanliness.
  • Maintains treatment room readiness by preparing materials, processing contaminated instruments and equipments.
  • Manage, monitor, order and maintain supplies
  • Develop, mounts, labels and files patient x-rays accurately
  • Support patient care from entry to exit, including appointment reminders, follow-ups, and post-treatment care.

Requirement:

  • Certificate in Dental Reception preferred but not mandatory.
  • Relevant administrative or clinic experience required.
  • Strong people management skills and a collaborative team player.
  • Good communication and conflict resolution abilities.
  • Adaptable to change and able to handle customer/patient issues effectively.
  • Professional work ethic with attention to detail and proactive initiative.
