An established company in Singapore is seeking an experienced Executive Secretary to support the Chairman with a full range of administrative duties. The ideal candidate will have over 10 years of experience in a secretarial role, demonstrating strong organizational skills and the ability to handle confidential matters discreetly. This role involves managing the Chairman's calendar, organizing meetings, and facilitating communication with stakeholders. Proficiency in Microsoft Office Suite is essential, while knowledge of Bahasa is advantageous.

Qualifications

  • At least 10 years of secretarial and/or executive support experience serving senior/top management.
  • Fluent in English, proficiency in Bahasa Indonesia/Malay is advantageous.
  • Trustworthy, able to handle confidential matters with discretion.

EXECUTIVE SECRETARY TO CHAIRMAN

This role is responsible for the full spectrum of secretarial and administrative duties for both business and personal matters, providing high-level support to the Chairman and family.

Job Description
  • Assist with calendar management, personal-related matters and administrative tasks
  • Organize and co-ordinate meetings, bookings, appointments, manage conflicting priorities
  • Ensure timely follow-up and reminders for both business and personal commitments
  • Maintain effective communication with internal and external parties, handle Chairman’s phone calls and emails
  • Review, draft, and initiate replies on the Chairman’s behalf where appropriate
  • Maintain filing of confidential and personal data
  • Arrange and manage travel logistics, including flights, accommodation, dining reservations, itineraries etc
  • Prepare presentation, reports, memos, documentation as required
  • Undertake any other ad-hoc duties as assigned
Job Requirements
  • Minimum GCE "A" Levels / Diploma
  • At least 10 years of secretarial and/or executive support experience serving senior/top management
  • Fluent in English to effectively communicate with senior/top management and external stakeholders.
  • Proficiency in Bahasa Indonesia/Melayu language is advantageous to facilitate communication with Bahasa-speaking stakeholders
  • Trustworthy and able to handle confidential matters with discretion
  • Strong organizational, multi-tasking, and time management skills, with keen attention to detail and resourcefulness
  • Strong interpersonal and communication skills
  • Possess a positive attitude and approachable demeanor
  • Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel)
