Job summary

A logistics company in Singapore is seeking an experienced Ocean Freight Coordinator to manage the transportation of ocean freight, ensuring compliance with customs regulations and effective communication with vendors. Job description
Purpose and main tasks
  1. Ensure the accurate and timely movement of ocean freight to- and from specific locations within the service standards agreed with the Customer
  2. Execute multimodal FCL pre-carriage services (Hinterland Transportation) by truck, rail or barge
  3. Execute multimodal LCL pre/on-carriage services (Hinterland Transportation) by truck (LTL) or rail
  4. Execute country specific Import customs clearance processes
  5. Handle selected Vendor facing communication and shipment related internal communication between company's stakeholders
  6. Participate in ad-hoc projects related to business process improvement (Internal and External).
  7. Perform value-added task within the scope of the function to meet customer requirements and changes made in the operations process.
  8. Ensure all customs permit declaration are in compliance with Singapore Customs Regulations and Procedures.
Accountable
  1. Activate and/or create shipment in TMS (TANGO)
  2. Update shipment arrival information in TMS (TANGO)
  3. Receive Carrier's Arrival Notice
  4. Request cargo release information, documents and freight invoice from Carrier - as applicable
  5. Perform required interaction incl. document transfer with external customs broker - as applicable
  6. Receive Original HBL from Consignee and confirm receipt in TMS (TANGO) - as applicable
  7. Check actual shipment arrival date with Carrier and confirm in TMS (TANGO) - as applicable
  8. Check shipment delivery status and confirm in TMS (TANGO) - as applicable
  9. Check empty container return to CY (Container Yard) and confirm in TMS (TANGO) - as applicable
  10. Ensure that Original MBL is surrendered to Carrier at origin or destination - as applicable
  11. Create exceptional and accessorial cost accruals in TMS (TANGO)
  12. Check container arrival at CY (Container Yard) and confirm in TMS (TANGO)
  13. Perform required interaction with CY (Container Yard) and port authorities - as applicable
  14. Manage and resolve invoicing disputes with vendors
  15. Request update from/with MDM Team (Master Data Management) as applicable
  16. Receive and/or forward relevant Vendor documents to GBS for uploading into digital archive (ODM) - as applicable
  17. Ensure compliance with Customer specific KPI's - as applicable
  18. Provide self-pickup instructions to Consignee - as applicable (Sender shown as "Customer Management")
  19. Send delivery details to Consignee - as applicable (Sender shown as "Customer Management"
  20. Provide shipment details (manifest) to customs authorities - as applicable
  21. Provide "Change Advice" to Consignee - as applicable
  22. Monitor container pickup status at CY (Container Yard)
  23. Provide demurrage & detention details to Import Customer Management Team
  24. Confirm self-pickup details in TMS (TANGO) - as applicable
  25. Initiate credit check for Consignee and follow up on credit issues with Finance Team
  26. Receive pick up/delivery requests from Customer Management Teams via TMS (TANGO)
  27. Determine optimal vendor, routing and price
  28. Provide delivery/pick up/drayage instructions to vendors
  29. Confirm pick up/delivery and empty container return
  30. Confirm container delivery to the CY (Container Yard)
  31. Update TMS (TANGO) with truck / vendor details - as applicable (ideally done electronically)
  32. Identify match-back and proactively combine load opportunities
  33. Receive and check hinterland vendor invoices then forward to OA for posting
  34. Prepare and submit required documents to relevant government authorities to obtain customs permit and/or certificate of origin – as applicable
  35. Accuracy check of the customs required data entry
  36. Creation and submission of required documents to Customs and/or Customs Broker - as applicable
  37. Direct communication with Customs and/or Customs Broker - as applicable
  38. Direct communication with government body - as applicable
  39. Create Customs related income reserves and cost accruals in TMS (TANGO) incl. duties and taxes
  40. Verify and create income reserves and cost accruals in TMS (TANGO)
  41. Finalize the printing of the invoices for Handover shipments
  42. Timely and accurate completion of activities in TMS (TANGO)
