Responsibilities and Duties
- Handle export/import documents such as letter of credit (and bank negotiation), bill of lading, Insurance Certificates and certificate of origin.
- Assist in the preparation, vetting, and signing of sales/purchase contract documents and other trade/shipping paperwork.
- Coordinate and communicate with port inspectors/ship broker to facilitate smooth loading and discharging of shipment.
- Track status of vessel arrival to determine compliance with the contract delivery period.
- Laytime calculations.
- Monitor and follow up on payments.
- Liaise with stakeholders such as overseas agents/consultants, trade partners, and foreign agencies/authorities on shipping related matters and to carry out prompt resolution of any contract issues and disputes.
- Maintain a record of contracts and shipment schedules.
- File contracts and other shipping records neatly and correctly.
- Prepare reports for use by the Management.
- Assist in developing a knowledge-management database that includes updated information on relevant local/international law, regulations, practices, tariffs, duties, licences, and restrictions.
- Assist in the review of work processes, practices, systems, and internal controls to improve workflow and cost efficiency.
- Assist to answer queries directed to the Operations Section and/or the Trader during their absence.
- Carry out any other duties needed to achieve organisational and team goals.
Requirements
- Bachelor's degree in Business, Supply Chain Management, International Trade, or a related field of study from a reputable university.
- At least 1‑2 years' working experience in operations, preferably in commodity or international trading.
- Good spoken and written communication for English and Mandarin (Required to communicate effectively with China Office).
- Effective communication, negotiation, and problem‑solving skills.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast‑paced environment.
