The Customer Service Executive is responsible for freight quotations, bookings, cargo requirement checks, invoicing, and lead generation across global networks and emerging markets. Job Scope: Customer Service Executive (Air Freight)
Serve as the first point of contact for customer inquiries. Understand shipment requirements and provide tailored air freight solutions. Maintain professional communication throughout the quotation and booking process.
Prepare accurate and competitive quotations based on shipment specs. Source rates from airlines, co-loaders, and overseas agents. Negotiate spot rates and maintain updated rate sheets.
Verify cargo classification (e.g. Dangerous Goods) and handling needs (e.g. pivot loading, temperature control). Coordinate with DG specialists to ensure proper documentation and compliance. Advise customers on packaging, labelling, and regulatory requirements.
Book cargo space directly with airlines. Confirm flight schedules, routing, and space availability. Resolve booking discrepancies and rebooking needs.
Generate and send invoices based on confirmed bookings. Ensure billing accuracy and follow up on payments.
Manage disruptions such as flight offloaded, airport strikes, or embargoes. Coordinate alternative solutions and communicate proactively with clients. Escalate critical issues to operations or management when needed.
Source contacts from global freight alliances (e.g. World Cargo Alliance) and initiate outreach for potential collaborations. Identify and engage local sea freight players to explore cross-modal opportunities and partnerships. Research and target new markets, especially emerging trade lanes or underserved regions. Maintain a lead database and track engagement outcomes. Support sales team by forwarding warm leads and insights from outreach efforts.
Prepare rate confirmations, booking summaries, and quotation templates. Ensure all customer-facing documents are accurate and professionally formatted.
Handover confirmed shipments to operations with full cargo and booking details. Collaborate with sales, pricing, and finance teams to align on strategy and execution.
