Job summary

A healthcare institution in Singapore is seeking an Associate Executive for Clinical Operations to provide essential administrative support to the Department of Surgery. Responsibilities include logistics management, meeting coordination, and scheduling for department activities. Candidates should have at least a diploma or GCE ‘A’ Levels, and 3-5 years of relevant experience. Effective communication skills in English, as well as the ability to multi-task, are crucial. Associate Executive, Clinical Operations (Surgical) (2 years contract)

Family Group: Administration

Broad Function

To provide administrative, logistics and office support for Department of Surgery.

Specific

  • Overall division admin support, including scheduling of meetings, meeting logistics, secretariat support, and collation of information.
  • Provide Stationery and office admin support including for IT and facility maintenance issues
  • Provide secretariat and logistical support to department meetings and events for internal and external stakeholders. Duties may include scheduling, minute taking, and preparing simple presentations and reports.
  • Provide support to Heads of Department (HOD) including calendar management, claims, and overseas travel arrangement.
  • Provide administrative support for Department Doctors including onboarding and off boarding activities, oversight of relevant certifications, leave projections, roster dissemination, and claims submission.
  • Arrangement of staff educational and cohesion activities.
  • Provide administrative support for procurement of items for clinical services, when required.

General

  • Any other duties as assigned by the Reporting Officer.

JOB REQUIREMENTS

Education / Training / Experience

  • Diploma or GCE ‘A’ Levels preferred
  • At least 3-5 years of related experience in a similar capacity, secretarial experience is preferred.
