Overview
We are seeking a highly organized and proactive individual to fill the dual role of Office Administrator and Accountant. This position is central to the smooth operation of our office and the accuracy of our financial records. The successful candidate will be responsible for a blend of administrative duties and basic accounting tasks, providing essential support to various departments.
Responsibilities
Administrative Duties
- Provide general administrative support to ensure efficient office operations.
- Manage front desk activities, including greeting visitors and answering phone calls.
- Handle office correspondence, including emails and mail.
- Maintain office supplies inventory and place orders when necessary.
- Organize and schedule meetings, appointments, and travel arrangements for staff.
- Assist in the preparation of regularly scheduled reports.
- Maintain a tidy and organized office environment.
- Support HR with basic administrative tasks, such as filing employee records.
Accounting Duties
- Manage accounts payable and accounts receivable processes.
- Process invoices, expenses, and prepare payments.
- Perform bank reconciliations and maintain the general ledger.
- Assist in the preparation of monthly, quarterly, and annual financial statements.
- Support the payroll processing and related calculations.
- Assist with budget preparation and monitoring.
- Ensure compliance with financial policies and procedures.
- Liaise with external auditors and tax advisors as required.
Qualifications and Skills
- Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- Proven experience as an office administrator, accountant, or a similar role.
- Solid understanding of basic bookkeeping and accounting principles.
- Proficiency in MS Office Suite (especially Excel) and accounting software (e.g., QuickBooks, Sage, or similar).
- Excellent organizational and time-management skills, with the ability to prioritize tasks.
- Strong attention to detail and problem-solving skills.
- High level of integrity and ability to handle confidential information.
- Good communication and interpersonal skills.
- Ability to work independently and as part of a team.
