Job Purpose
Responsible for managing fleet operations across multiple locations, ensuring optimal utilization, maintenance, safety compliance, and cost efficiency. Oversees vehicle allocation, preventive maintenance, and reporting to support operational excellence.
Key Accountabilities
- Fleet Operations Oversight: Oversee general fleet management, ensuring optimal utilization and availability of vehicles. Supervise daily vehicle usage, allocation, and scheduling.
- Maintenance & Safety: Manage vehicle repair and maintenance, ensuring timely completion and quality standards. Schedule and monitor preventive maintenance for all vehicles. Conduct regular in-person vehicle inspections. Ensure compliance with safety, legal, and regulatory requirements for fleet operations.
- Reporting & Analysis: Update and maintain daily, weekly, monthly, quarterly, and annual fleet reports. Prepare ad hoc reports and data analysis for management decision making. Implement and monitor fleet KPIs (e.g., downtime, cost per km, fuel efficiency).
- Vendor & Contract Management: Coordinate with fleet suppliers and service providers for repairs, maintenance, and related services. Review technical proposals for fleet related services and supplies. Review and validate fleet service and supply related invoices for accuracy. Notify the Admin Team for timely renewal or extension of contracts and purchase orders.
- Driver & Team Supervision: Monitor driver and Fleet Team performance, including roster scheduling and compliance with company policies. Supervise and manage the JMS team, taking corrective actions when necessary. Track and respond to Blue Key Users events (e.g., seat belt violations, speeding), and take appropriate action by informing their line managers.
- Trip & Pool Service Management: Manage trip requests, including permanent vehicle assignments and pool service scheduling. Ensure proper allocation and availability of pool service vehicles.
- System & Documentation Management: Ensure TAMM system management, including registering vehicles to the current user. Maintain vehicle registration, insurance, and documentation up to date.
- Fuel & Expense Control: Track and monitor fuel consumption, identify variances, and implement controls. Manage petty cash for drivers, approve related expenses, and ensure proper documentation.
- Spare Parts & Inventory Coordination: Ensure adequate stock of fleet related spare parts and consumables in coordination with the Inventory Team.
- Accident & Insurance Handling: Handle accident vehicle processing, including insurance claims and repair follow up.
- Continuous Improvement: Drive initiatives to reduce costs and improve fleet efficiency.
- Financial Controls: Act as Petty Cash Custodian (if assigned) and ensure disbursement aligns with company policies. Review petty cash invoices for compliance before submission to Finance.
- Administrative Support: Request PRs for related items, assets, or services and follow up until delivery.
- Other Duties: Perform any other related tasks assigned by management.

Minimum Qualifications & Experience
- Bachelor’s degree in Logistics, Transportation Management, or related field.
- 3-5 years of experience in fleet management and operations, preferably in multi-site environments.
