A manufacturing company in Selangor seeks a Purchasing Executive to handle mechanical and utility spare parts procurement. The ideal candidate will have a Bachelor's degree and 3-4 years of purchasing experience in manufacturing. Responsibilities include vendor sourcing, negotiating costs, processing purchase orders, and ensuring compliance with safety regulations. Strong analytical and communication skills are essential, along with proficiency in ERP systems and Excel. This role offers an opportunity to work in a fast-paced environment with a team-oriented approach.
Dipping Line : Glove dipping lines, Layering machines, Stripping machines, Conveyors, Chain drives, rollers, bearing, belts, chains, pumps, valves, seals, couplings.
Utility Systems : Air compressors and dryers, Boilers and steam systems, Water treatment and RO systems, Chillers and cooling towers, Vacuum systems, electrical motors, and pumps.
Ensure parts meet safety & specification requirements by stakeholders and Identify backup suppliers to reduce single-source risk.
Read and understand manuals, mechanical drawings, and BOMs.
Check material type, size, fitting, surface finish, and pressure/heat/chemical ratings.
Confirm part compatibility with Maintenance, Engineering, and Utilities teams.
Ensure compliance with Malaysian regulations and site safety standards.
Request multiple quotations and compare prices (non-strategic area).
Negotiate pricing, delivery, and warranty terms.
Support cost-saving ideas like local sourcing, standardisation, and bulk purchasing.
Track spending and highlight opportunities for savings.
Convert approved PRs into accurate POs.
Include correct description, drawing reference, quantity, delivery date, and urgency.
Expedite urgent orders for breakdowns or critical maintenance.
Follow up closely with suppliers to meet committed delivery date.
Maintain Approved Vendor List (AVL).
Monitor supplier performance on delivery, quality, and responsiveness.
Handle problems like wrong parts, delays, or defects.
Ownership of contract life cycle management and performance of vendor toward preset service level.
Identify critical and fast-moving spare parts with Maintenance and Utilities.
Set minimum stock levels and reorder points.
Participate in slow-moving and obsolete stock reviews.
Work closely with relevant stakeholders in reviewing the validity of each part in the context of overall preventive maintenance and holding cost.
Communicate with maintenance, utilities, engineering, production, and warehouse teams.
Support machine upgrades, improvements, and utility projects.
Participate in problem-solving meetings for recurring breakdowns.
Candidate must possess a minimum Bachelors Degree in Engineering/ Purchasing / Supply Chain Management or equivalent from recognised university / college.
At least 3-4 years of hands‑on purchasing experience in a manufacturing environment.
Experience in indirect procurement (MRO, spare parts, tooling).
Strong vendor sourcing, negotiation, and cost‑saving skills.
Knowledge of manufacturing processes, equipment maintenance, and PM programs.
Proficient in ERP systems, Excel, and data analysis.
Ability to manage supplier relationships, contracts, and LTAs.
Strong analytical, communication, and cross‑functional collaboration skills.
Able to work effectively in a small team within a fast‑paced purchasing department.
Possess good negotiation and communication skills.
Able to multitask and work independently with minimum supervision.
