The Position: The Data Quality Specialist supports the organization’s Continuous Quality Improvement (CQI) and Performance Improvement (PI) activities by ensuring the accurate, timely, and reliable collection of outcome and compliance data across programs. This role plays a critical function in maintaining data integrity for regulatory reporting, risk management, and accreditation readiness, including compliance with Joint Commission standards.

The Data Quality Specialist is primarily responsible for data entry, data verification, and data monitoring, with a focus on Special Incident Reports (SIRs), Notices of Concern for HSPRS, OMAS data for Full Service Partnership (FSP) programs, and other internal and external data collection systems. While this role does not provide clinical oversight, it ensures that data submitted reflects fidelity to reporting requirements and supports data-informed decision-making.

Compensation and Benefits:

The pay range we’re offering is $20.00 - $25.00 hourly depending (Based) on experience.

EDUCATION/EXPERIENCE REQUIRED:

  • Associate or Bachelor’s degree in Public Health, Data Analytics, Business Intelligence, or related field preferred.
  • Minimum 2 years of experience in data analysis, quality improvement, or behavioral health performance evaluation
  • Knowledge of compliance and reporting requirements in behavioral health and child welfare(e.g., Medi-Cal, DMH, COA/Social Current, Joint Commission)
  • Familiarity with HIPAA and FIRPA requirements

COMPUTER/OFFICE SKILLS REQUIRED:

  • Proficient in Google Workspace, Microsoft Excel, and other office-related software
  • General Office Skills
  • SPSS

PHYSICAL SKILLS REQUIRED:

  • Must pass a pre-employment physical examination, tuberculosis (TB) test, and drug screening
  • Ability to commute to various school sites depending on program needs
  • Ability to lift and carry up to 20 pounds.
  • Ability to perform physical duties, including standing and sitting.
  • Visual and auditory acuity to perform duties
  • Manual dexterity is required for using technology
  • Required to perform prolonged work at a computer for documentation, planning, and communication purposes

CLEARANCES REQUIRED:

  • Department of Justice (DOJ), Federal Bureau of Investigation (FBI), Child Abuse Index (CACI)
  • Insurability under Corporate Automobile Insurance

DESCRIPTION OF DUTIES:

  • Accurately enter, track, and maintain outcome, incident, and compliance data across multiple data systems in accordance with internal procedures and external reporting requirements.
  • Collect and manage data from Special Incident Reports (SIRs), Notices of Concern (HSPRS), OMAS (for FSP programs), and other designated outcome measurement systems.
  • Ensure data submissions are complete, consistent, and submitted within required timeframes.
  • Conduct routine reviews of Special Incident Reports for accuracy, completeness, timeliness, and fidelity to reporting standards.
  • Review Notices of Concern to ensure appropriate documentation, data consistency, and timely submission.
  • Identify missing, inconsistent, or incomplete data elements and follow up with programs for clarification or correction.
  • Monitor trends related to reporting timeliness and data quality and escalate concerns as appropriate.
  • Support the organization’s CQI and Performance Improvement processes by ensuring reliable data is available for analysis, monitoring, and reporting.
  • Assist in preparing data summaries and reports to support PI initiatives, risk management activities, and leadership review.
  • Participate in CQI activities, including data tracking related to sentinel events, near misses, and safety indicators, as applicable.
  • Support accreditation readiness by maintaining organized, auditable data records aligned with Joint Commission standards.
  • Monitor deadlines for required data submissions and proactively track compliance.
  • Support internal audits by providing accurate data and documentation as requested.
  • Maintain data confidentiality and adhere to all HIPAA, agency, and regulatory requirements.
  • Collaborate with program staff, supervisors, and quality leadership to clarify data requirements and reporting expectations.
  • Provide technical assistance related to data submission processes (not clinical guidance).
  • Communicate trends or recurring data quality issues to Quality leadership to support system-level improvements.
