Job Summary

The Artwork Routing Specialist is responsible for managing the end-to-end routing and approval of packaging artwork within Colgate’s global artwork approval systems. This role ensures that all inputs, approvals, and deliverables comply with Colgate guidelines, are completed on time, and meet quality and brand standards. The Artwork Routing Specialist partners closely with cross‑functional teams and external suppliers to consolidate feedback, resolve artwork issues, and support continuous improvement of artwork processes and tools.

Responsibilities
  • Artwork Routing & Approval
  • Execute the routing and approval of packaging artwork in Colgate’s artwork approval systems (e.g., BIC / Global Artwork System), ensuring milestones and timelines are met.
  • Ensure that all required inputs, approvals, and documentation are complete and compliant with Colgate guidelines.
  • Review and approve the accuracy of packaging artwork against the Master Artwork / Artwork Reference.
  • Project & Scope Management
  • Review project scope and Execution Briefs to fully understand requirements.
  • Assign work to the Mechanical Routing Team and consolidate all annotations into clear Artwork Direction for the Artwork Provider.
  • Clarify questions and resolve ambiguities with Project Leaders and Design Execution Managers as needed.
  • Cross‑Functional Alignment & Issue Resolution
  • Align change requests during the mechanical stage with cross‑functional teams (Marketing, Legal, Regulatory, R&D, Packaging, etc.).
  • Coordinate and track the resolution of issues and inconsistencies in artwork and feedback, escalating to the Routing Hub Manager and Design Execution Manager when required.
  • Provide guidance and support to users of Colgate’s global artwork approval systems.
  • Cost Tracking & Administration
  • Support cost tracking and invoice processing for mechanical artwork.
  • Coordinate with agencies, artwork providers, and print/prepress suppliers to ensure accurate billing and timely payments.
  • Continuous Improvement & Analytics
  • Conduct Routing Assessments to identify bottlenecks, risks, and improvement opportunities.
  • Collaborate with stakeholders on strategies and process enhancements based on data‑driven insights.
  • Day‑to‑Day Operations
  • Manage approval routes for printed materials using Colgate’s platforms (e.g., BIC), coordinating with internal teams to ensure on‑time completion.
  • Consolidate comments from multiple stakeholders into clear, actionable directions for agencies and suppliers.
  • In some cases, review artwork files to verify alignment with brand and technical requirements.
  • Manage a high volume of projects, priorities, and files, ensuring strong organization and follow‑through.
Required Qualifications
  • Bachelor’s degree in Graphic Design, Industrial Design, Marketing, Innovation & Design Engineering, or a related field.
  • Minimum 1 year of experience, ideally in artwork management, packaging development, or in an agency environment (e.g., account executive, production, or similar role related to packaging or artwork).
  • Proficiency with Adobe tools, including Photoshop and Illustrator.
  • Strong skills with Google Workspace (Google Suite) and Microsoft Excel.
  • Advanced English (written and spoken), with ability to work daily with international teams, including Brazil and other regions.
Desired Qualifications
  • Experience with Esko or other artwork management platforms.
  • Excellent follow‑up, attention to detail, and organizational skills.
  • High tolerance for managing multiple priorities, rework, and last‑minute changes (frustration tolerance).
  • Previous experience working with cross‑category or multi‑brand portfolios, managing multiple and sometimes conflicting priorities.
  • Demonstrated continuous improvement mindset, including experience in process optimization or system enhancements.
  • Basic design sensibility: ability to assess whether a design/artwork adheres to established brand and packaging guidelines.
