A global service company in the pharmaceutical industry is seeking an experienced Project Manager. Responsibilities include interfacing between departments, tracking projects and budgets, and overseeing project deliverables. The ideal candidate has over 5 years of project management experience and a strong ability to communicate effectively with stakeholders. This position is based in Milano, Italy and requires a professional degree in Sciences or Economics.

Responsibilities
  • Acting as interface between Pharmalex’s VDCs, administrative departments (e.g. Finance, local, global, affiliates), and external consultants
  • Track projects and budgets to assist with management of project workload
  • Development, implementation, and streamlining of processes (PLX internal and towards customer)
  • Oversee project handoff activities from Sales including, but not limited to, project set-up on internal systems, kick-off, control and release of client
  • Intercompany invoicing, budget tracking and controlling, onboarding / offboarding of staff, KPI set up, etc.
  • Monitor and ensure project deliverables are completed within agreed timeline and budget
  • Identify scope changes or change orders / extensions required for current projects and collaborate with the Account / Project Manager to manage accordingly
  • Develop proficiencies on local systems and serve as point of contact for team inquiries; provide training on local systems as needed
  • Oversee and manage timely review and approval of employee / consultant time entries on a weekly / monthly basis
  • Monitor employee / consultant utilization across assigned team, assess staffing for current month + next three months, while also monitoring project timelines, and collaborate with the Team Lead to manage accordingly
  • Identify opportunities to engage additional employees / consultants to meet project needs and accelerate project timelines (e.g., move phases in parallel where possible)
  • Work within Operations to identify ability to cross-utilize employees / consultants for billable work and business development assistance

In the context of project support :

  • Coordination, monitoring and preparation of project controlling and reporting; keeping an eye on the overall budget
  • Actively informs the Account / Project Manager about potential discrepancies on budget
  • Development & maintenance of supportive tools if relevant for Budget, KPI and in scope activity tracking, supervision and controlling
  • Support the tracking and reporting of set out targets (KPIs)
  • Initiates the control / closing / opening / rebooking of times within work packages in PLx Time tracking & Accounting System
  • Maintenance of program related projects in PLx Time tracking & Accounting System from operative point of view
  • Update Salesforce in case of deviations / change orders within an approved project
  • Supports the onboarding / offboarding of resources (internal and external) as instructed by the Account / Project Manager
  • Keeps the overall reporting results transparent to the Account / Project Manager
  • Prepares the monthly / quarterly financial statement or timesheet so that a customer invoice can be issued on time
  • Support of Project Management, in all relevant and delegated topics, including communication with clients
Your Profile / Qualifications
  • 5+ years of proven profound experience in project management and coordination
  • Professional degree in Sciences or Economics or equivalent combination of education and experience
  • Ability to discuss and align mid- and long-term departmental goals.
  • Ability to translate strategic goals of partnerships / customers or internal projects into tactical goals
  • Ability to lead extensive project and process reengineering activities and provide consultation related to change management
  • High affinity to work with complex business processes
  • Strong ability to adapt flexibly to changing project conditions and open to change management processes
  • Strong ability to analyse processes: adapting, streamlining, and increasing efficiency of processes
  • Capability of supervision, prioritisation, and processing of parallel projects and tasks
  • Excellent team player, empathic skills
  • Complex problem solving, strong understanding of business
  • Structured, analytical, systematic, and independent manner
  • Autonomous, concentrated, and high-quality work
  • Very good written and spoken communication skills with internal and external customers, stakeholders, colleagues, and supervisors
  • Experienced user of the MS-office packages, ERP-, project management and database-systems
  • Very good command of English
