We are seeking a highly organized and goal-oriented person to join our organization as an Operations Assistant. In this role, you will provide essential support to our Operations Management Team in various daily administrative activities.

Responsibilities
  • Guarantee daily support to the Operations Manager & Staff Members
  • Plan meetings and management reviews (Operation Reviews, Communication Meetings, etc.)
  • Assist in the preparation of regular reports or presentations
  • Arrange travel, book flights, hotels, and transport in compliance with company policies
  • Manage expense claims, ensuring checks and compliance with targets and regulations
  • Create OPEX purchase requests for assets (laptops, hardware, supplies, stationery) and follow up using SAP
  • Create reports to monitor internal requests, orders, and expenses
  • Provide support to visitors and act as a point of contact for internal and external clients
  • Track internal visits in VAM tool, complying with safety and security regulations
  • Support employees with administrative tasks such as leave, room reservations, payroll error claims, reimbursements, and data collection during site closures
Required Profile:
  • Experience as an Executive Assistant or Personal Assistant supporting senior leadership, or project management experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong organizational and communication skills
  • Familiarity with SAP is a plus
  • Ability to prioritize and meet deadlines
  • Strong problem-solving skills
  • Fluent in English (writing and speaking)
