Job Title: Trainee Document Controller
Department: ASTI Fort Augustus Project – Engineering
Reports To: Senior Document Controller
Position Summary

The Technical Clerk / Trainee Document Controller plays a key role in supporting the site engineering and project management teams by maintaining the flow of project documentation.

This role ensures that engineers, project managers, and site personnel are always working with the most current and accurate versions of drawings, specifications, and data sheets.

Key Responsibilities
Document Management & Control
  • Receive, check, and register incoming project documents and drawings in accordance with project procedures.
  • Ensure the latest document revisions are clearly identified and made available to site teams.
  • Issue and track documentation distributed to site staff, ensuring logs are kept up to date.
  • Maintain an organised filing system for current and superseded documents (electronic and hard copy).
  • Support regular document revision and version control checks across site documentation.
Technical & Administrative Support
  • Prepare and issue work packs and technical documentation sets for construction and installation teams.
  • Assist with the preparation of project progress charts, registers, and documentation trackers.
  • Support engineers with the collection, verification, and collation of technical data.
  • Assist the Senior Document Controller in resolving document control queries or inconsistencies.
  • Provide general administrative and document-related support to the site team as required.
Quality & Compliance
  • Ensure all documentation processes align with project quality standards and document control procedures.
  • Assist in audits or quality checks related to document control activities.
  • Uphold confidentiality, accuracy, and consistency in all documentation tasks.

Travel

Primarily based on site at Fort Augustus. Occasional travel within the UK may be required.

Qualifications, Skills & Experience
Essential
  • Previous experience in a document control, technical administration, or similar clerical role, or NVQ Level 3 / A-level equivalent qualification.
  • Strong computer literacy, particularly in Microsoft Office (Word, Excel, Outlook, Teams).
  • Excellent attention to detail with a methodical and organised approach.
  • Good understanding of technical documentation and revision control processes.
  • Clear and professional communication skills, both written and verbal.
  • Team-oriented, reliable, and capable of working independently under minimal supervision.
  • Ability to work effectively under pressure and meet deadlines.
Desirable
  • Experience in a document control or project support role within engineering, construction, or infrastructure projects.
  • Familiarity with document management systems (EDMS) or databases.
  • Basic knowledge of engineering terminology or project workflows.
  • Awareness of quality management and control procedures.
