Overview

Our client is seeking an Administrator to support company secretarial services within the Fund Corporate Services department. Based in Jersey, this temporary, full-time role is for a period of 6 months and involves providing efficient and accurate minute-taking, meeting coordination and administrative support for fund client entities. You will liaise directly with internal teams and external stakeholders to ensure timely and professional handling of corporate governance tasks.

Responsibilities
  • Coordinate quarterly and ad hoc board meetings for fund clients
  • Draft meeting agendas and circulate to directors for approval
  • Collate and prepare board reports and meeting packs with input from internal and external parties
  • Maintain central meeting logs, registers and digital/physical corporate files
  • Attend board meetings to take minutes and circulate them within 10 business days
  • Follow up on action points from board meetings and report progress to directors
  • Monitor shared inboxes and triage correspondence where necessary
  • Liaise with legal counsel and stakeholders regarding agreements requiring director approval
  • Assist with regulatory audits and gather requested documentation
  • Carry out ad hoc administrative tasks as directed by company secretarial managers
Qualifications
  • Strong organisational skills with the ability to complete tasks efficiently and accurately
  • Understanding of fund structures and fund operations (training will be provided)
  • Ability to interpret legal and governance documents (with support and training)
  • Able to manage priorities and perform well under pressure
  • Self-motivated with the ability to work independently and across rotational tasks
  • Excellent verbal and written communication skills
  • Flexible, detail-oriented and proactive
  • Sound IT skills, particularly in Microsoft Office, especially Excel
  • Awareness of fund regulatory and compliance matters (Desirable)
  • Previous company secretarial experience (Desirable)
  • Familiarity with alternative investment funds (Desirable)
  • Completion of a relevant Category 5 professional qualification (Desirable)
