Summary

The Shipping and Orders Co-ordinator is responsible for ensuring the efficient, accurate, and timely processing of customer orders, dispatch, and all aspects of order fulfillment for aviation parts within the Crawley warehouse. This position plays a critical role in maintaining seamless order flow, shipping and will support in receiving activities. Upholding the highest standards of quality, accuracy, and compliance. The role requires close attention to detail and proactive coordination with the internal teams and external customers to achieve operational excellence and enhance customer satisfaction.

Key Responsibilities
  • Accurately process customer orders from the receipt of order through to the dispatch to meet delivery deadlines and customer requirements.
  • Control customs clearance and documentation processes for outgoing and incoming orders.
  • Monitoring, expediting and supporting global sales orders.
  • Demonstrate excellent communication with colleagues, customers, carriers, and external partners such as FedEx, UPS, and DHL to optimize dispatch and delivery outcomes.
  • Liaising with Freight forwarders to ensure best price and service levels for shipments.
  • Working closely with colleagues in the Chicago logistics and finance department to ensure smooth operations, system updates and accurate handovers are given.
  • Ensure all outgoing shipments are prepared in accordance with company quality standards and relevant regulations.
  • Maintain up-to-date and precise records of all orders processed, shipments, and inventory movements.
  • Collaborate with other team members including sales, repairs and purchasing to prioritize order fulfillment, resolve order issues, and meet performance targets.
  • Manage other daily warehouse tasks, including receiving deliveries, checking incoming shipments.
  • Proactively escalates any order discrepancies, shipping problems, or quality concerns to management for timely resolution.
  • Operate warehouse equipment including pallet jacks, forklifts, and scissor lifts as needed (training provided if required).
  • Help maintain a clean, safe, and organized warehouse environment in line with company policies and safety regulations.
  • Assist with inventory counts and help monitor stock levels to ensure product availability for incoming orders.
  • Ensure strict adherence to company processes, procedures, and compliance requirements including ASA-100 and Hazmat regulations.
Qualifications
  • Experience in warehouse shipping and customs processes, and/or order processing roles; aviation industry background is an advantage.
  • Goods Inspection is an advantage (although training can be given)
  • Dangerous Goods knowledge/qualifications are an advantage, although training can be given.
  • Detail-oriented with strong organizational skills and the ability to multitask in a fast-paced environment.
  • Good communication and teamwork skills.
  • Proficient in using Google Workspace, Avsight an advantage but training will be given.
  • Physically capable of lifting and working in an active warehouse setting.
  • Willingness to adapt to varying warehouse and order processing tasks as required.
Physical Demands
  • Frequent bending, stooping, kneeling, and reaching.
  • Ability to lift, move, or carry items.
  • Regular use of warehouse equipment (pallet jacks, forklifts, scissor lifts; training provided if needed).
