A Facilities Management firm is seeking a Senior Workplace Facilities Manager to oversee a multi-site workplace portfolio. The successful candidate will lead a team to deliver exceptional service while ensuring compliance with health and safety standards. Responsibilities include managing operational functions, supporting team development, and continuously improving service delivery. Ideal candidates will have substantial experience in multi-site office management, strong communication skills, and relevant certifications. This role is located in the City of London.

Job description

We are seeking a Senior Workplace Facilities Manager to oversee a multi-site workplace portfolio for our Facilities Management client. The role leads a Workplace Team to deliver an excellent customer experience while ensuring full compliance with Health & Safety, Security, and operational standards. The successful candidate will drive service improvements and support team development.

Key Responsibilities
Operational Management
  • Lead and support a multi-site Workplace Team, ensuring all services meet required standards.
  • Act as deputy to the Workplace Operations Manager.
  • Maintain accurate workplace records, documentation, and compliance reporting.
  • Monitor KPIs, SLAs, and contractor performance.
  • Coordinate cleaning, catering, maintenance, and other essential services.
  • Contribute to the development of future FM processes and systems.
Data & Reporting
  • Maintain workplace management systems with accurate data.
  • Produce reports on occupancy, usage, and service performance.
  • Assist with budgeting, invoicing, and expense tracking.
Communication & Coordination
  • Act as the main point of contact for workplace queries.
  • Manage supplier relationships and internal communications.
Health, Safety & ESG
  • Maintain H&S documentation and support audits.
  • Support sustainability and waste management initiatives.
  • Ensure full compliance with H&S and environmental policies.
Process Improvement
  • Identify opportunities to enhance efficiency and introduce best practices.
  • Support implementation of new workplace technologies and initiatives.
Qualifications & Experience
  • Experience managing multi-site offices with FM and budget responsibility.
  • Strong contract and supplier management skills.
  • Previous line management experience.
  • Strong data analysis and reporting abilities.
  • Excellent communication and stakeholder management skills.
  • Proficiency in Microsoft Office.
  • IOSH Managing Safely; IWFM Level 5+; NEBOSH preferred.
