Senior Office Administrator

Up to £35,000 (DOE) Monday to Friday 9am – 5pm (site-based role)

We are supporting a forward-thinking organisation based on the outskirts of Mansfield with the recruitment of a Senior Office Administrator. This is a pivotal role in the company and you will be supporting the business with senior admin tasks. The position reports to the Financial Director. The role requires confidence, organisation, attention to detail and the ability to take ownership and see tasks through to completion.

Key Responsibilities for Senior Office Administrator
Office and Facilities Management
  • Take ownership of the day‑to‑day running of the office environment to ensure it is organised, professional and welcoming.
  • Conduct daily, weekly and monthly building walk‑arounds using agreed checklists.
  • Arrange and coordinate repairs, planned maintenance and contractor visits.
  • Manage procurement and stock of office consumables, kitchen supplies and welfare resources.
  • Ensure office equipment servicing and compliance schedules are up to date, including printers, HVAC systems, fire equipment and alarms.
Contract and Lease Management
  • Maintain oversight of all building‑related service contracts including cleaning, waste management, security, grounds maintenance and service providers.
  • Track contract renewal dates and organise timely reviews.
  • Obtain quotes and support supplier comparison and selection activity when improvements or renegotiations are required.
Vehicles, Machinery, Fleet and Insurance Administration
  • Maintain a live schedule of all company vehicles, machinery and equipment leases within SAGE Intacct Asset Module.
  • Track servicing, MOT, inspection, leasing cycle dates and insurance renewals.
  • Liaise with suppliers, leasing companies and insurance brokers and ensure documentation remains accurate.
Security, Safety and Front‑of‑House
  • Act as the first welcoming point of contact for visitors.
  • Manage sign‑in processes, access control and visitor briefings.
Executive and Administrative Support
  • Provide diary management support to the Managing Director, including scheduling meetings and allocating preparation time.
  • Prepare agendas and meeting packs for strategic internal and external meetings.
  • Support administrative communication such as drafting or preparing professional emails.
  • Coordinate visitor plans for key partners, customers and suppliers to ensure a well‑organised and positive experience.
