Job description

We are currently seeking an enthusiastic and conscientious receptionist to work in our busy Oncology and Haematology department at the Macmillan Brook Unit. You will be working with the admin team to deliver a quality service to patients and careers.

As the first point of contact, excellent customer service is essential. The successful candidate should have a polite and caring attitude towards patients, particularly those facing difficulties.

NOTE: We are unable to offer sponsorship for this post.

Responsibilities
  • Deliver comprehensive outpatients reception service to patients, families and careers.
  • Action patient appointment requests from E‑Outcomes and complete end‑of‑day cashing up for each clinic.
  • Uphold patient confidentiality and manage distressed patients with sensitivity, adhering to protocols.
  • Promote the professionalism of the Trust and maintain the privacy and dignity of the patient at all times.
  • Offer patients a warm, friendly and helpful welcome and inform them of the next steps of their journey, including any delays.
  • Maintain a calm attitude at all times, being aware of patients’ worries and concerns when coming to hospital.
  • Maintain daily the Outpatients Clinic Information Board.
  • Ensure all patients have checked‑in on the Self‑Check‑in Kiosk and that data are entered on Enlighten and Icare.
  • Ensure height/weight taken prior to clinic appointments and documented in Icare.
  • Ensure patients’ notes are pulled and available for clinics that require them.
  • Make follow‑up appointments as instructed by clinicians on the E‑outcome forms.
  • Organise support services for patients as required (interpreters, porters, transport).
  • Answer telephone queries or re‑direct as appropriate in a sensitive and professional manner.
  • Request necessary maintenance work after consultation with the Administration Manager.
  • Cover reception for annual leave or sickness of the Lewisham Suite 8 Clinic Co‑ordinator on a rotational basis.
  • Assist clinicians and healthcare professionals with any IT issues relating to clinic procedures; inform Management of any urgent issues.
  • Organise and prioritise own workload, responding to changing priorities within deadlines.
  • Participate in the PDR process to enhance personal skills.
  • Attend team meetings and contribute to setting achievable standards to improve patient care and service development.
