Hybrid Working Opportunity

This role is eligible for the hybrid working benefit, requiring the successful candidate to attend our Harrietsham office three days per week, with the flexibility to work from home up to two days a week once deemed competent to work independently and in line with the business needs. Applicants must be UK-based and live within a practical commutable distance of our office. Hybrid working is a benefit at Bedfont and not a contractual term.

Your Mission

The Project Assistant supports the Projects Team in the coordination and delivery of development projects, acting as a key link between project administration and project coordination activities. This role provides hands-on support across project planning, documentation, communication and progress tracking, helping ensure projects are delivered on time, within scope, and in accordance with internal procedures and regulatory requirements. The Project Assistant works closely with Project Managers, Coordinators and cross-functional teams to facilitate visibility and momentum throughout the project lifecycle.

Roles and Responsibilities
  • Support Projects Team in the planning, coordination, and execution of projects.
  • Assist in maintaining project plans, schedules, and task lists to ensure alignment with project objectives.
  • Help ensure project activities follow internal Design and Development procedures.
  • Schedule and coordinate project meetings, prepare agendas, take minutes, raise purchase orders, track department spend.
  • Assist in communicating project updates, actions, and timelines to internal stakeholders and escalating issues where appropriate
  • Maintain and update project documentation, including technical file records, in line with procedural and regulatory requirements.
  • Assist with Quality Management System (QMS) documentation and post market surveillance.
  • Track project actions, milestones, and deliverables, providing regular progress updates to Project Managers.
  • Highlight potential delays, risks, or resource constraints to senior project staff.
  • Support the maintenance of project tracking tools and systems (e.g. Kanban boards, project software)..
  • Liaise with external suppliers or partners under the direction of the Project Manager or Project Coordinator.
  • Support the implementation of new project procedures and governance practices as required.
Qualifications
  • Experience in a project support, administrative, or assistant role is desirable.
  • A qualification or training in business administration or project management (Prince2, APM)is advantageous. Training specific to the role will be provided.

  • Excellent communication and interpersonal skills.
  • Proficiency in project management software (e.g., Monday.com, Microsoft Project).
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Ability to work under tight deadlines and adapt to changing project requirements.
  • Critical thinking and problem-solving skills.
  • Competency in Microsoft Office applications, including Word, Excel, Outlook
  • Experience in coordinating cross-functional teams and managing stakeholder relationships.
Preferred Skills
  • Understanding and experience working within ISO13485 and ISO14987 or similar regulatory experience.
