Main duties
  • You will be a key member of a small team in sourcing goods and services using electronic procurement systems. This involves turning internal requisitions into purchase orders, often first by seeking information from suppliers and clarifying requirements with requesters.
  • You will use emails and other methods of communication to respond to customer queries.
  • You will maintain accurate procurement records to help with reporting requirements.
  • You will help advise customers how to engage with procurement and follow correct processes.
  • You will be required to work to a high level of accuracy with very good communication skills and a pro-active approach to managing your tasks. Computer skills and the ability to learn new systems is essential.
  • You will need to be able to manage your own tasks following instruction and engage with and support other team members.

Job responsibilities
  • Sourcing — Ensure identification of sources for goods and services is compliant with the Trust\'s Procurement Policy and Standing Financial Instructions. Seek market knowledge to support purchasing activity. Assist with research and evaluation of new sources of supply. Ensure orders are prepared accurately and in a timely manner using appropriate methods. Support purchasing activity contributing to social value.
  • Catalogue management — Manage the trust electronic catalogue of approved products in consultation with departments. Ensure product records are consistent with coding, description and entry into electronic databases used for orders.
  • Contract making and public procurement — Assist development, analysis and award process of contracts in accordance with policies and governance. Lead on evaluation of quotations and support tenders as directed. Assist in monitoring contract performance. Lead on specific contracts/projects under the direction of the Head of Procurement. Lead on reviewing and maintaining the contract database.

  • Essential: GCSE level qualifications

Experience

  • Essential: Relevant experience of buying, requesting or managing goods and services; practical experience of assisting and communicating with internal and external people within an organisation; experience of prioritising work and managing multiple tasks to meet deadlines

Knowledge & Skills

  • Essential: Good written and verbal communication; good interpersonal and customer service skills; good working knowledge of Microsoft products including Word, Excel, Outlook

Desirable

  • Evidence of continuing professional development
  • Membership of CIPS
  • Attendance at customer services, procurement training or other relevant online or in-person events
