A healthcare organisation in Altrincham is seeking a highly motivated Practice Manager to oversee operational functions and provide strategic oversight at Riddings Family Health Centre. The ideal candidate will have experience in primary care management and leadership, with strong skills in communication and problem-solving. This role offers the opportunity to lead a friendly team in an established practice focused on patient safety and quality care.
1. Staff Management (recruitment, mandatory training, Rota/cover management including locum bookings, absence management, working with an external HR service).
2. CQC & Regulatory Compliance(strong awareness of GP contract, a focus on quality / audits, own all policies and procedures, preparing for inspections, etc.).
3. Data Quality & Mandatory Reporting(support in or complete mandatory annual submissions such as e Dec, KO41B, InformationGovernance toolkit etc , oversee data protection compliance, registrations /SARs processes, and accurate data coding)
4. Customer Service(lead on internal communications, monitorand report on patient feedback, investigate and respond to formal complaints,etc.)
5. Premises & Systems Management(Health andSafety / Infection Control compliance and risk assessments, IT / clinicalsystems oversight, security and access, etc. )
6. Business & Strategic Planning(supportthe GP partnershing with long-term planning and practice development)
We are a small friendly practice with a patient list size of circa 3700. We have a GP Partner, salaried senior GP, a regular locum GP, an experienced nurse practitioner and a friendly group of administrative and reception staff.

Thisis an established role, the vacancy created by retirement. There is anopportunity to develop the practice beyond its current working patterns, whilehaving the security of an established team.

Patient services
Adopt a strategic approach to the development and management ofpatient services
Ensure service development and delivery is in accordance with localand national guidelines
Ensure that the practice complies with NHS contractual obligations inrelation to patient care
Promote and develop the PPG(Patient Participation Group)
Maintain registration policies and monitor patient turnover andcapitation
Oversee and/or develop repeat prescribing systems
Oversee and/or develop and manage an effective appointments system
Oversee and/or organise Practice timetables, duty rotas and holidaycover
Routinely monitor and assess practice performance against patientaccess and demand management targets
Develop and implement an effective complaints management system
Strategic management and planning
Keep abreast of current affairs and identify potential threats andopportunities
Contribute to practice strategy; formulate objectives and research anddevelop ideas for future practice development
Monitor and evaluate performance of the practice team againstobjectives; identify and manage change
Develop and maintain effective communication both within the practiceand with relevant outside agencies
Prepare and annually update the practice development/strategic plan,oversee the implementation of the aims and objectives
Assess and evaluate accommodation requirements and manage anydevelopment and expansion plans
Human resources
Oversee the recruitment and retention of staff and provide a generalpersonnel management service
Ensure that all staff are legally and gainfully employed. Monitorskill-mix and deployment of staff
Manage staffing levels within target budgets
Evaluate, organise and oversee staff induction and training and ensurethat all staff are adequately trained to fulfil their role
Develop and implement effective staff appraisal and monitoring systems
Support and mentor staff, both as individuals and as team members
Implement effective systems for the resolution of disputes andgrievances
Keep abreast of changes in employment legislation
Maintain up-to-date HR documentation (including job descriptions,employment contracts and employment policies)
Organisational
Convene meetings as required and specifically: attend Partnersmeetings and take notes. Chair Management Meetings and Nurse Meetings andattend Practice Clinical Meeting
Maintain compliance with NHScontractual obligations.
Oversee the production of the annual calendar of meetings
Develop practice protocols and procedures, review and update asrequired
Ensure that practice premises are properly maintained and cleaned andthat adequate fire prevention and security systems are in place
Manage the procurement of practice equipment, supplies and serviceswithin target budgets
Develop and review health and safety policies and procedures and keepabreast of current legislation
Arrange appropriate insurance cover
Ensure that the practice has adequate disaster recovery and businesscontinuity procedures in place
Arrange appropriate maintenance for practice equipment
Information management and technology and Information Governance
Evaluate and plan practice IT implementation
Keep abreast of the latest developments in primary care IT includingDoH (Department of Health) initiatives such EPRs (electronic prescribingrecords) and disease coding and regularly update the practice management team
Motivate, support and monitor staff in the use of IT; organise,oversee and evaluate IT training
Set targets and monitoring standards for data entry and datacollection
Ensure that the practice has effective IT data security, back-up,maintenance, business continuity plan and disaster recovery plans in place.
Ensure all procedures/policies around Information Governance are inplace together with organising and keeping records of staff training
Liaise with the ICB regarding systems procurement, IT funding andnational IT development programmes.
Oversee and/or maintain thepractices website.
Health & safety
The post-holder will implement and lead on the full range of promotionand management of their own and others health, safety and security as definedin the practice health and safety policy, the practice health and safety manualand the practice infection control policy and published procedures. This willinclude (but will not be limited to):
Ensuring job holders across the practice adhere to their individualresponsibilities for infection control and health and safety, using a system ofobservation, audit and check, hazard identification, questioning, reporting andrisk management.
Maintain an up to date knowledge of health and safety and infectioncontrol statutory and best practice guidelines and ensure implementation acrossthe business
Using personal security systems within the workplace according topractice guidelines
Identifying the risks involved in work activities and undertaking suchactivities in a way that manages those risks across the business
Making effective use of training to update knowledge and skills andinitiate and manage the training of others
Using appropriate infection control procedures, maintaining work areasin a tidy and safe way and free from hazards and initiation ofremedial/corrective action where needed
Actively identifying, reporting and correction of health and safetyhazards and infection hazards immediately when recognised
Keeping own work areas and general/patient areas generally clean,identifying issues and hazards/risks in relation to other work areas within thebusiness and assuming responsibility in the maintenance of general standards ofcleanliness across the business in consultation (where appropriate) with othersector managers
Undertaking periodic infection control training (minimum annually) andlead on annual infection control inspection.
Routine management of own team/team areas and maintenance of workspace standards
Communication
Communicate effectively with other team members
Communicate effectively with patients and carers
Ensure effective communicationand working relationships with external organisations such as GMICB, Trafford South PCN, NHS England, GMSS, SST LMC
Recognise peoples needs for alternative methods of communication andrespond accordingly
Contribution to the implementation of services
Apply practice policies, standards and guidance.
Responsibility for CQC complianceensuring systems and processes are up to date as required by the CQC.
Discuss with other members of the team how the policies, standards andguidelines will affect own work
Participate in audit where appropriate
Representation of the Practice externally
Active engagement with and attendance at each meeting of the South Trafford Primary Care Network
Engage with all statutory bodies external to the practice as requiredincluding Greater Manchester Clinical Commissioning Group and any subsequent successor,CQC, Trafford Council
