Overview

VANRATH are pleased to be partnering with a growing accountancy practice in Belfast City Centre to appoint a Practice Operations Coordinator. This role sits at the centre of the firm's operations - perfect for someone who enjoys a blend of office coordination, client interaction, and hands‑on finance support. You will support partners and staff, streamline daily operations, and play a key role in delivering an organised, efficient and client‑focused practice.

What you'll do
  • Coordinate day-to-day practice operations: diary management, scheduling, calls, emails and general office activity.
  • Maintain office systems, client records, supplies and facilities to ensure the smooth running of the practice.
  • Act as the first point of contact for clients, handling enquiries and managing communications.
  • Prepare engagement letters, onboarding documents and maintain accurate client files.
  • Support accountants by gathering client information and preparing simple reports or schedules.
  • Manage routine administration including scanning, filing, document formatting and updating internal systems.
  • Assist with website or social media updates (training provided).
Bookkeeping & Finance Support
  • Enter purchase invoices, receipts and other financial data into the relevant systems.
  • Process client records (sales, purchases, bank statements) under supervision.
  • Assist with payment runs, invoicing and statement generation.
  • Monitor outstanding payments and support credit control activity.
  • Complete simple reconciliations (bank, petty cash, supplier).
  • Prepare basic financial summaries or reports for senior staff (full training provided).
  • Contribute to practice culture by supporting onboarding, wellbeing initiatives and team events.
About You
  • Experience in office administration, operations, bookkeeping or finance support.
  • Professional, friendly communicator with strong client-service skills.
  • Highly organised with excellent attention to detail and the ability to manage multiple tasks.
  • Confident using Microsoft Office and willing to learn new finance and practice management systems.
  • Comfortable with basic bookkeeping processes or keen to develop these skills.
  • Proactive, adaptable and able to support both administrative and operational needs across the practice.
